Check-ups, hygiene and recalls
Offers slots from your appointment book by clinician and appointment type, allows the length each appointment needs and texts the confirmation.
Patients ring at 8am, at lunch and after you close, and plenty won’t leave a voicemail. We build an AI receptionist for your practice that books check-ups and hygiene visits into your practice software, answers fee questions and puts patients in pain straight through to your clinical team.
Thanks, that’s with us.

Quick answer
An AI receptionist for a dental practice answers the practice phone in natural speech and takes the calls that tie up your front desk: booking and moving check-ups and hygiene appointments, answering questions about NHS and private fees, registering new patients and taking messages for the clinical team. It works from your appointment book, so it offers real slots instead of promising a call back.
Dental calls are not like other calls. A patient with toothache, a swollen face or a knocked-out tooth needs a person, not a booking menu. We write the screening questions with your clinicians, and the receptionist transfers those calls to the duty dentist or nurse, or gives the out-of-hours route you have agreed, such as your on-call number or NHS 111. It never diagnoses, recommends treatment or tells a patient their problem can wait.
Because callers mention symptoms, medicines and medical history, the receptionist handles health data, which UK GDPR treats as special category data. We agree with you what is recorded, where it is stored, who can read it and how long it is kept, and we keep clinical details out of any system that doesn’t need them.
What it handles
Each practice runs its book differently. These are the call types practices usually hand over first, each set up around your own rules.
Offers slots from your appointment book by clinician and appointment type, allows the length each appointment needs and texts the confirmation.
Takes name, date of birth and contact details, asks whether they want NHS or private care, says whether you are taking that kind of patient and texts your forms.
Explains NHS charge bands, private fees, payment plans and membership schemes from the price list you approve, and says when a fee depends on an examination.
Asks only the screening questions your clinicians set, then transfers urgent calls to the duty dentist or nurse, or gives your agreed out-of-hours route.
Moves or cancels appointments, explains your failed-appointment policy and can offer the freed slot to patients who asked to come in sooner.
Lab queries, referral letters, treatment-plan questions and records requests reach the right person as a written summary, not a sticky note.
The 8am phone rush
Patients wanting a same-day appointment, new patients hoping to register and people rebooking a check-up all sit in the same queue. Some give up and ring another practice.

Examples
Illustrative examples of what we build, not client results.
At opening, screens callers asking for an emergency appointment with the questions your dentists approved, offers the day’s emergency slots and puts anyone describing facial swelling or trauma through to a clinician.
Aim: emergency slots allocated by need, not by who got through first
Explains what a new patient examination includes and costs, books it, sends a deposit link if you take one and texts the medical history form before the visit.
Aim: new private patients booked on their first call
Answers from a setting your practice manager updates, adds callers to your waiting list if you keep one and explains private options without pressure.
Aim: the same accurate answer to the most common question
Takes details of implant, aligner or whitening enquiries, explains the consultation process and fee, books the consultation and passes clinical questions to your treatment coordinator.
Aim: higher-value enquiries followed up instead of lost in voicemail
Answers patients ringing back after a recall text or letter and books them with the right dentist or hygienist for the right appointment length.
Aim: recall replies booked without a call back
Tells callers with an urgent problem how to reach your on-call dentist or NHS 111, as your practice directs, and books routine requests for the next available day.
Aim: no patient left with only an answerphone message
The same approach suits private clinics: booking by practitioner and appointment type, insurer and self-pay questions, and anything clinical passed to a clinician.
Aim: one front-desk set-up that fits the clinic’s own rules
Works out which practice the patient is registered with, checks that site’s book and follows that site’s own emergency arrangements.
Aim: consistent call handling at every practice in the group
How we work
Six steps, with your clinicians involved wherever a call touches symptoms. You hear it on a test line before any patient does.
We sit with your reception team, look at when calls peak and list the call types: bookings, new patients, fees, emergencies and messages. We agree what always goes to a person.
Week 1We write the call flows and, with your clinicians, the screening questions and wording for urgent calls. A dentist signs off every clinical rule before it is built.
Weeks 1–2We connect the phone line and your practice software, or a booking workaround where the software has no access route, and set up recording, retention and access for patient data.
Weeks 2–3We load your fees, NHS charge information, policies and practice details, then test it on realistic calls, including anxious, angry and confused patients.
Weeks 3–4It usually starts at lunchtime and after hours while reception reads every call summary, then takes on more once you are happy with it.
Typically weeks 4–5We review transcripts, update fees and NHS charges when they change and adjust triage wording with your clinicians. Optional monthly support covers this.

Is it right for your practice?
A practice with a quiet phone and a settled list may not need one. If that is you, we’ll say so.
Your options
Many practices combine them: the AI takes routine and out-of-hours calls, and the reception team handles the patients in front of them and the calls that need a person.
| What matters | Custom AI receptionist | Extra reception hours | Outsourced call handling |
|---|---|---|---|
| The 8am rush | Can take several calls at once | One more line covered | Depends on the provider’s staffing |
| Books into your practice software | Where an access route exists | Yes | Varies by provider |
| Urgent dental calls | Screens with your agreed questions, then transfers | Uses their own training and judgement | Follows the provider’s script |
| Knows your fees and policies | Answers from information you approved | Yes | From a script you supply |
| Evenings and weekends | Whenever you set | Only if someone works those hours | Depends on the plan |
| How you pay | Setup fee, optional monthly support, call usage | Wages, holiday cover and training | Per call, per minute or monthly |
Pricing
The main cost drivers are the number of call types, how your practice software connects and whether it covers one site or several. You get a written quote with scope and exclusions agreed up front.

Technology
Speech recognition turns the patient’s words into text, and we add dental terms such as hygienist, scale and polish or root canal to its vocabulary. A large language model, the kind of AI behind ChatGPT and Claude, works out what the caller needs. Retrieval over your own information (RAG) means fee and policy answers come from documents you approve. Text-to-speech replies in a calm, clear voice, and APIs connect it to your appointment book. Because patient data is involved, we agree providers and hosting regions with you.
Practices and clinics
Call flows change with the type of practice. These are the set-ups we design for.

Still have a question?
Ask us directly. A senior engineer reads every question.
Ask about your projectOften, yes, but it depends on the access each system offers. Some practice management systems provide an API or booking integration; others need a workaround, such as booking through your online booking page or sending the request to reception to confirm. We check your system during discovery, before we quote.
No. It is built never to diagnose, recommend treatment or say whether a problem can wait. When a caller describes pain, swelling, bleeding or an injury, it asks only the screening questions your clinicians approved and then passes the call to a dentist or nurse, or gives your agreed out-of-hours route.
It follows the out-of-hours arrangements your practice sets. Typically that means giving your on-call number or directing NHS patients to NHS 111, and telling anyone with swelling that affects breathing or swallowing to call 999. Your clinicians approve that wording, and every urgent call is logged for the team.
As special category data under UK GDPR. We agree in writing what is recorded, where it is stored and for how long, use providers and hosting you approve, limit who can read transcripts, and pass clinical details only to the systems that need them. Your practice remains the data controller throughout.
Yes, from a setting your practice manager controls. When your NHS list opens or closes, you change one answer and the receptionist uses it from the next call. It can add callers to your waiting list, explain your private options and text your registration forms.
Some will, so it says it is an AI at the start and offers a person whenever asked. The calls it takes are mainly quick bookings and fee questions. Anxious patients, complaints and anything delicate are transferred to reception or taken as a message rather than handled by the AI.
