Document and data capture
Reading invoices, delivery notes, statements, forms and applications as they arrive, extracting the fields that matter, checking them against the system of record and routing only the exceptions to a person.
Take the re-keying, chasing and repetitive calls off your team without replacing the software you already pay for. We build AI agents, chatbots, AI receptionists and workflow automation into your CRM, finance system, inbox and phone line, with optional support once they are live.

Quick answer
Automation pays where a task is repetitive, rule-shaped and high volume, and where the exceptions are a minority rather than the norm. The best candidates usually involve information arriving in an awkward form, email, PDF, a portal, a spreadsheet, and needing to end up somewhere structured.
What AI changes is the tolerance for mess. Classic automation breaks the moment a document is laid out differently or a field is missing. A model can read an invoice it has never seen, extract the line items, and flag the one that does not reconcile instead of failing the whole batch. That is the difference between a rule that works for eighty per cent of cases and a process you can actually retire a manual step from.
The second half of the job is integration, and it is usually the larger half. Reading the document is the easy part; getting the result into Sage, Xero, Salesforce, HubSpot, Dynamics or a bespoke system, with the right references, and handling what happens when it does not match, is where the engineering goes.
The same thinking applies at the front door. An AI receptionist or AI voice agent answers calls and books appointments, a WhatsApp chatbot handles routine messages, and custom AI agents carry multi-step work across your systems. Before you commit, the AI automation ROI calculator estimates the staff time at stake.
Looking for an AI automation agency in London? SpiderHunts Technologies Ltd is registered in London, with a registered office in E6, and we work with businesses across the capital and the rest of the UK, remotely, with calls in UK business hours and invoiced in pounds. This page is the UK view of our AI automation services; the rule-based side is covered on our workflow automation page.
What we build
Eight areas. Most engagements start with document capture or a single stubborn integration.
Reading invoices, delivery notes, statements, forms and applications as they arrive, extracting the fields that matter, checking them against the system of record and routing only the exceptions to a person.
Joining Sage, Xero, Salesforce, HubSpot, Dynamics and bespoke systems so a record is entered once. Including the unglamorous part: what happens when the two systems disagree.
The approvals, handovers and chase-ups that live in inboxes. Built as a process with a state, an owner and an audit trail, rather than as a chain of reminders.
Agents that carry out multi-step work with tools and guardrails: research, triage, reconciliation, drafting. Built with limits on what they can touch, because an unconstrained agent in a finance system is a liability.
Internal assistants over your own documentation and data, and customer-facing bots that know when to hand over. Useful when grounded in your material, misleading when not.
Connecting to the services that do not offer a ready-made integration, including the ones with hostile or undocumented APIs, and wiring OpenAI, Anthropic and Google models in with fallbacks and cost control.
AI receptionists and voice agents that answer calls and book appointments, and WhatsApp chatbots for order updates and enquiries, passing anything sensitive to a person.
Automations fail quietly, which is the dangerous way to fail. We monitor throughput and exception rates so a broken integration is noticed by us rather than by your auditor.
Why this matters
Most back-office work is not judgement. It is moving the same information between systems, by hand, because nothing joins them up.
Not sure whether your process is worth automating?
Sometimes it is not, and we will say so. A free scoping call will tell you whether the volume and the exception rate justify the build.
In practice
Illustrative examples of what we build, not client results.
Invoices arrive by email in every layout imaginable. The model reads them, matches line items to the purchase order, and sends only the mismatches to a person, with the document attached.
Aim: hours of typing replaced by minutes of review
A new customer or supplier set up across CRM, finance, the portal and a spreadsheet. One capture, validated once, pushed everywhere, with the conflicts surfaced rather than silently overwritten.
Aim: one entry instead of four
Paper or photographed job sheets arriving days late. Captured at source, read, pushed into the job system and invoiced without someone transcribing them on a Friday.
Aim: jobs invoiced in days rather than weeks
Supplier insurance, accreditations and certifications tracked in a spreadsheet nobody owns. Captured, dated, and chased automatically before they lapse rather than after.
Aim: expiry chased before it becomes a problem
Classifying what arrives, extracting what matters, routing to the right person and drafting the routine replies for approval. The judgement stays human; the sorting does not.
Aim: the queue handled, not just acknowledged
A nightly comparison that finds the discrepancies, explains them where it can, and presents the rest in one list rather than leaving them for a month-end scramble.
Aim: differences found the day they appear
An AI receptionist answers on your existing number when lines are busy or the office is closed, books appointments into your calendar, logs each enquiry in the CRM and puts urgent calls through to a person.
Aim: no enquiry lost to voicemail
A WhatsApp chatbot answers routine questions from your own information, sends order or booking updates to customers who have opted in, and hands the conversation to a named person when it needs one.
Aim: routine messages answered the same day
How we work
Nothing is switched over until it has run in parallel long enough to be trusted.
A free call about the process as it actually works, including the exceptions. We estimate the volume, the exception rate and whether the maths justifies a build. Sometimes it does not.
We build the capture, the integration and the exception handling together, because an automation without a route for the awkward cases just moves the problem.
The automation runs alongside the manual process until the output matches. This is where the real exception rate appears, and it is always higher than the estimate.
Code in your repository, documentation, and monitoring that tells us when throughput drops. The system is yours, not rented from us.
Clear scope · Regular demos · Full handover
Honest fit
The maths is usually clear within a call. We would rather establish it then than three weeks into a build.
Which do you need?
Most projects mix two or three of these. This is the quickest way to see where your work fits and what each typically starts at.
| Option | What it does | Best for | Typically from |
|---|---|---|---|
| Workflow automation | Moves data between your systems on fixed rules | Predictable, repetitive steps such as copying orders into accounts | £2,000 |
| AI-assisted automation | Adds AI to read emails and documents, sort, extract and summarise | Steps that need judgement, such as reading invoices or triaging enquiries | £5,000 |
| AI agent | Plans and carries out multi-step tasks across several tools | Work with several systems and decisions, such as chasing, updating records, reporting | £5,000 |
| AI receptionist | Answers phone calls, books appointments, takes messages | Missed calls and booking calls | £1,500 |
| WhatsApp chatbot | Answers customers on WhatsApp and takes bookings or orders | Businesses whose customers message rather than call | £4,000 |
| AI chatbot | Answers questions in writing on your website or in your apps | Repeated customer or staff questions | £5,000 |

FAQ
What UK businesses ask before commissioning an automation build.
Still have a question?
Ask us directly. A senior engineer reads every question.
Ask about your projectThree things decide it: how often it happens, how long it takes each time, and what proportion of cases are exceptions. High frequency with few exceptions is where automation pays. If exceptions are most of the work, you automate the easy part and keep the hard part. We work this out on the first call.
That is exactly what the AI part is for. A rules-based extractor breaks on a new layout; a model reads a document it has not seen before. What still needs engineering is what happens when it is unsure, which is why exception handling is built at the same time rather than afterwards.
Into UK cloud regions by default: AWS London, Azure UK South or Google Cloud London. Where a model provider is involved we will tell you exactly what is sent, what is retained and what the options are, including arrangements that keep data out of training. This should be settled before the build, not after.
We build to support your obligations, but the duties remain yours as controller. In practice that means data minimisation in what we send to a model, a retention policy you have agreed, an audit trail, and documentation of the processing. We will not claim to make you compliant, because that is not something a supplier can do for you.
Yes, once ownership transfers on full payment, as set out in your contract. The code sits in your repository and runs on your infrastructure. We do not build automations that only work while you keep paying us, and handover includes documentation rather than just access.
Usually it replaces a task rather than a role, and in most engagements the people involved move onto the exception handling and the work that actually needs judgement. We would rather be honest that the headcount question is yours to answer, not ours to promise either way.
A document capture or a single integration typically takes a few weeks; an AI receptionist typically two to four; a multi-system workflow longer. The estimate comes after scoping, in writing, with the assumptions stated so you can see which ones would change it.
Automations fail quietly, which is the dangerous way, so we build in monitoring of throughput and exception rates rather than waiting for someone to notice. Ongoing support is an optional retainer, quoted openly alongside the build rather than buried in it.
