Most care enquiries arrive after your office closes

Families research care in the evening, after work, after the hospital call. They contact four providers in one sitting. The one that answers first usually wins the package. We build the websites, enquiry systems and recruitment funnels that make sure it is you.

The quiet leaks

Three things quietly costing you packages every month

None of these show up on a P&L. All of them show up in your growth.

The enquiry that came in at 7pm on a Sunday

A daughter has just been told her father is being discharged on Thursday and needs care at home. She opens her laptop on Sunday evening and works through the search results. Your site has a phone number and a contact form. She fills it in. So does the next agency, and the one after that.

On Monday morning your office opens and starts working through the inbox. By then she has already spoken to someone who answered.

You did not lose that package on price or quality. You lost it on response time.

Vacant hours you cannot fill

You have the packages. You cannot staff them. Applications come in slowly, half of them go cold before anyone calls back, and the compliance paperwork stretches a two week onboarding into six.

Meanwhile the local authority is asking whether you can take on more hours and you are declining work you have already won.

Recruitment is not a marketing problem. It is a speed and follow up problem, and it is fixable.

A website that describes you instead of converting

Most care agency websites read like a CQC application. Lists of services, a paragraph about values, a stock photo of hands being held. All accurate. None of it answers what the family actually came to find out.

Do you cover my postcode. How much is it per hour. Can you start this week. Are you rated Good or better.

If those four answers are not visible in ten seconds, the visitor leaves before they ever reach your contact form.
See it working

This is what a 7pm enquiry should look like

Below is a working enquiry assistant configured for a fictional care provider. Ask it what you would ask if you were a family member searching at the weekend. Ask about postcodes, dementia support, hourly rates, how quickly care can start, CQC rating.

It qualifies the enquiry, captures the details your team actually needs, and books a callback. Your registered manager opens their inbox on Monday to a named contact with postcode, care type, hours required, funding route and preferred callback time.

This runs on your own site, in your branding, trained on your services, coverage area and pricing. Setup takes about a day.

What we build

Four things we build for care providers

Start with one. Most providers begin with enquiry capture because it is quick and it pays for itself in a single package. Everything else builds on top.

24/7 Enquiry Capture

Live in one day
From £49/mo

An AI enquiry assistant on your website that answers families at any hour, checks whether you cover their area, explains your services and rates, qualifies the enquiry properly and books a callback into your calendar. It does not replace your care coordinators. It makes sure they start Monday with a full pipeline instead of a voicemail box.

  • Trained on your services, coverage area, rates and CQC rating
  • Captures postcode, care type, hours needed, funding route, urgency
  • Books callbacks straight into your team calendar
  • Instant email and SMS alert to your on call manager for urgent enquiries
  • Full conversation transcripts, useful evidence for CQC responsiveness
  • GDPR compliant, UK data handling, configurable retention

Website Design and Build

3 to 4 weeks
From £1,500

A website built around the four questions every family asks, not around your org chart. Fast on mobile, because most care research happens on a phone. Clear coverage map. Clear service pages. Clear route to contact you from every screen.

  • Mobile first, loads in under two seconds
  • Postcode coverage checker
  • Separate journeys for families, commissioners and carer applicants
  • CQC rating and registration displayed properly
  • Accessibility built in, WCAG AA, because much of your audience is over 65
  • Service pages for domiciliary, live-in, respite, dementia, complex and end of life care
  • Enquiry forms that feed straight into your CRM instead of an inbox

Carer Recruitment Funnel

3 to 4 weeks
From £2,000 + mgmt

The highest value thing we build. A dedicated careers site and application funnel that gets applicants from click to interview in under 48 hours instead of two weeks.

  • Careers landing page built to convert, not a PDF job description
  • AI screening for right to work, driving licence, availability and experience
  • Automatic interview booking, applicant picks a slot immediately
  • Automated document collection for DBS, references, right to work and training, with chase sequences
  • Drop off alerts so nobody goes cold in the pipeline
  • Reporting on source, cost per hire and time to first shift

Back Office Automation

2 to 3 weeks
From £1,200 + retainer

The repetitive admin between enquiry and first visit, handled automatically. Built on n8n, connected to whatever you already use.

  • Enquiry to CRM sync, no manual re-keying
  • Automated follow up sequences for enquiries that go quiet
  • Rota and shift notifications to carers
  • Review requests to families at the right moment in the relationship
  • Renewal reminders for training, DBS and insurance expiry
  • Custom workflows built around how your branch actually runs
The maths

The maths on a single missed enquiry

A typical domiciliary package of 10 hours a week at £27 per hour is around £14,000 a year. A live-in package is considerably more. Most providers keep a client between 9 and 18 months. So one additional package won per year covers everything on this page several times over.

One missed care package
£14,000+lost / year
24/7 enquiry capture
£588per year
Full website rebuild
From £1,500one off
One unfilled 20 hour package due to staffing
£28,000+lost / year

We are not asking you to gamble. Start with enquiry capture at £49 a month and see what lands in your inbox over the first fortnight.

Straight answers

The questions providers actually ask us

Is this compliant with GDPR? Care enquiries contain health information.

Yes, and we take it seriously. Data is stored in the UK, retention periods are configurable to your policy, consent is captured explicitly at the point of enquiry, and you get a full data processing agreement. We can restrict what the assistant collects if you would rather sensitive detail stayed with a human.

Will it replace my care coordinators?

No, and you would not want it to. Care is a relationship business and families need to speak to a person. The assistant handles the first two minutes, when your office is closed, so that a human conversation actually happens. Every enquiry still reaches your team, just qualified and on time.

What if it gives a family wrong information?

It only knows what you tell it. We train it on your services, coverage, rates and policies, and we set clear boundaries on anything clinical or contractual. For anything outside scope it takes details and escalates to your team rather than guessing.

We already have a website we quite like.

Then keep it. The enquiry assistant works on any site, WordPress, Wix, Squarespace, custom. We can add it in a day without touching anything else. The website work is only worth doing if your current one is genuinely holding you back.

We have been burned by a web agency before.

Common in this sector. We work in stages with a defined deliverable at each one, you own everything we build including the domain and hosting, and there is no long contract on the monthly services. Cancel with 30 days notice.

How much of my time will this take?

For enquiry capture, about an hour, one call to go through your services, rates and coverage. For a website, roughly three or four hours spread over the project. We do not send you 40 page questionnaires.

Do you understand the care sector or are you a general web agency?

We work with UK providers and we know the difference between domiciliary, live-in and supported living, why your CQC rating belongs above the fold, and why a careers page matters as much as your services page. If we did not, the demo above would not sound right to you.

How it works

Four steps, no slides, no pressure

1

20 minute call

We look at your current site while we talk, ask about your enquiry volume, where packages are being lost and what your staffing position looks like. No slides.

2

A short written recommendation

Sent within two working days. What we would do, in what order, what it costs. If the honest answer is that you do not need us yet, we will say so.

3

Start with one piece

Usually enquiry capture, because it is live within a day and you can judge it from real results rather than promises.

4

Build from there

Website, recruitment funnel, automation, in whatever order matters most to your growth.

Find out what your website is missing

Book a 20 minute call and we will walk through your current site together, mystery shop your own enquiry process, and tell you exactly where enquiries are dropping. You will get something useful out of the call whether or not you work with us.

No sales sequence, no automated follow up chain. One call, one honest answer.
