Automate One Workflow

Automate one workflow properly, before you automate ten

A fixed-scope sprint on a single workflow that costs your team time every week: invoicing, order entry, reporting, lead routing or something similar. We agree the scope in writing, build it, test it on your own data and hand it over. If you want us to keep it running, there is an optional managed retainer.

Quick answer

What is a fixed-scope automation sprint?

An automation sprint is a short, fixed-scope project that automates one business workflow from start to finish. Instead of a long programme across the whole business, you pick the single process that costs the most time or causes the most errors, and we automate that one first.

Before any work starts, we write down exactly what the workflow does today, what the automated version will do, which systems it connects to and what is out of scope. You approve that in a written quote. We then build it with tools such as n8n, Make, Zapier or custom code, adding AI only where it helps, for example reading invoices or sorting enquiries, and test it on your own data before it goes live.

SpiderHunts Technologies Ltd is registered in London (Companies House 16718403) and works with clients remotely, by video call. The sprint starts from £2,000, excluding VAT. After launch you can run the automation yourself, or keep us on an optional managed retainer from £400 a month.

What we automate

Workflows that suit a one-workflow sprint

Good candidates happen often, follow clear rules and move data between systems you already use. These are the ones businesses most often pick first.

01

Invoicing

Turn completed jobs, timesheets or orders into invoices in Xero, QuickBooks or Sage, send them and chase unpaid ones on a schedule you set.

02

Order entry

Move orders from email, PDFs, Shopify or a supplier portal into your stock, ERP or accounts system without retyping them.

03

Reporting

Pull figures from your systems into a weekly or monthly report, dashboard or spreadsheet that builds itself on a schedule you set.

04

Lead routing

Send each new enquiry to the right person or branch by service, postcode or value, log it in the CRM and alert whoever owns it.

05

Document handling

Read invoices, delivery notes or forms with AI, extract the fields you need and file them, with anything unclear sent to a person to check.

06

Approvals and reminders

Route purchase requests, holiday or expenses for approval, and send reminders when something is waiting, overdue or about to expire.

Choosing the workflow

How to choose the one workflow to automate first

The first automation should be easy to measure and low risk if it needs adjusting. We help you pick on the free call, using five questions.

  1. Question 01

    How often does it happen?

Daily or weekly work pays back sooner than a task done twice a year.

  2. Question 02

    Does it follow clear rules?

If two people would do it the same way, it can usually be automated. If it needs judgement every time, it may suit AI with a person checking, or not suit automation at all.

  3. Question 03

    Are the systems reachable?

Most cloud software has an API or an integration. Paper, desktop-only software and locked supplier portals are harder and can push a job beyond one sprint.

  4. Question 04

    What does a mistake cost?

Work where errors are expensive, such as invoices or orders, is often worth automating with checks built in.

  5. Question 05

    Who owns it?

One person who knows the process well should be available for the scoping and testing. That matters more than the tool.

Why one workflow

Big automation plans stall. One finished workflow doesn’t.

Trying to automate everything at once means long scoping, many moving parts and nothing in use for months. One workflow, done properly, is in use quickly and shows you what the next one is worth.

Done by hand today

  • The same data is typed into two or three systems
  • Reports depend on one person finding time to build them
  • Invoices go out late because jobs are closed off in batches
  • Enquiries sit in a shared inbox until someone claims them
  • Errors are found weeks later, when a customer or supplier complains
  • Nobody knows exactly how long the work takes each week

After the sprint

  • Data is entered once and moves between systems on its own
  • The report builds itself on a schedule
  • Invoices are created when the job is marked complete
  • Enquiries go straight to the right person with the details attached
  • Checks catch missing or odd data and flag it to a person
  • The workflow is documented, so it is not trapped in one person’s head

Examples

One-workflow automation examples

Illustrative examples of what we build, not client results.

Trades

Job sheets to invoices

When an engineer closes a job in the job management app, the invoice is created in Xero with the right parts and labour lines and emailed to the customer, with overdue reminders on a schedule.

Aim: invoices sent when the job is done, not at the end of the month

Wholesale

Emailed orders into the system

Orders arriving as emails and PDFs are read, matched to customer and product codes and entered into the stock system. Anything that does not match goes to a person to check.

Aim: no more retyping orders from the inbox

Ecommerce

Weekly sales and stock report

Sales, refunds and stock levels from Shopify and the accounts package are combined into one report that lands in the team’s inbox every Monday.

Aim: the Monday report without the Monday morning

Professional services

Enquiry routing by service

Website and email enquiries are sorted by service and value, logged in the CRM and assigned to the right partner, who gets an alert with the details.

Aim: each enquiry owned by one person from the start

Accounts

Supplier invoice capture

Supplier invoices sent to a shared inbox are read with AI, checked against purchase orders and posted as drafts for approval in the accounts system.

Aim: less keying, with a person still approving each bill

Multi-site

Daily figures from every branch

Takings, bookings or footfall from each branch system are collected into one sheet each evening, with a note when a branch has not reported.

Aim: one view of every site without phoning round

How we work

How an automation sprint runs

Six steps, with the scope fixed in writing before the build starts. If the work turns out to need more than one sprint, we say so before you commit.

  1. Free call

We talk through the work that takes your team the most time and pick the best first workflow together.

  2. Written scope

We map the workflow as it runs today and write down what the automated version will do, which systems it touches and what is excluded. You approve the quote.

  3. Build

We build the automation with the tool that fits your systems and budget, with checks and alerts for missing or unusual data.

  4. Test on your data

We run it alongside the manual process on real examples, compare the results and fix any differences.

  5. Hand over

It goes live, and you get a written guide to what it does, where it runs and what to do if something looks wrong.

  6. Optional retainer

If you want us to keep it running, the optional managed retainer covers monitoring, fixes when connected software changes, and small improvements.

    Optional

Clear scope · Regular demos · Full handover

Is it right for you?

When a one-workflow sprint is the right start

We would rather tell you now than sell a sprint that won’t pay back.

A good fit when…

  • One repetitive task takes hours of someone’s week
  • The task follows rules your team could write down
  • The systems involved are cloud tools with APIs or integrations
  • You want to see automation working before committing to more
  • Someone who knows the process can join the scoping and testing

Not the right fit when…

  • The process changes every week or nobody agrees how it works
  • Every case needs a person’s judgement from start to finish
  • The data lives on paper or in software with no way in
  • You need several departments’ workflows rebuilt together (that is a larger automation project)
  • The task happens a few times a year

Compare options

A sprint vs doing it yourself vs a larger project

An honest comparison. Plenty of simple automations can be built in-house, and we will tell you if yours is one of them.

Technology

The tools we use for automation sprints

We pick the tool that suits your systems, your budget and who will look after it. No-code platforms such as n8n, Make and Zapier suit most single workflows. Custom code suits high volumes or awkward systems. AI models are added only where a step needs reading or sorting, with a person checking anything uncertain.

FAQ

Automate One Workflow FAQs

Straight answers to what buyers ask before they sign.

Still have a question?

Ask us directly. A senior engineer reads every question.

Ask about your project

How much does it cost to automate one workflow?

The sprint starts from £2,000, excluding VAT. The price depends on how many systems the workflow touches, how clean the data is and whether AI is needed for any step. You get a written quote with scope and exclusions agreed up front, after a free call.

How long does a sprint take?

A single workflow typically takes one to two weeks from approved scope to launch. The timeline for your workflow is set out in the written quote.

What counts as one workflow?

One process with a clear start and end, such as turning completed jobs into invoices or moving emailed orders into your stock system. If what you describe is really two or three workflows, we say so on the call and you choose which to do first.

What happens if the scope changes during the sprint?

We agree any change in writing before doing it, with its effect on price and timing. Anything outside the written scope is quoted separately.

Do I have to take the managed retainer?

No. The retainer is optional. You get a written guide to the automation at hand-over, and you can run it yourself. The retainer, from £400 a month, suits businesses that want us to monitor it and handle changes.

Which tools do you build with?

Usually n8n, Make, Zapier or Power Automate, and custom code where volumes are high or a system is awkward. We recommend the tool that fits your systems and whoever will look after it.

Who owns the automation?

The automation and its configuration transfer to you on full payment, as set out in your contract. Tool subscriptions are in your name where possible.

Can AI be part of the workflow?

Yes, where it helps, for example reading invoices, sorting enquiries or drafting replies. We keep a person in the loop for anything the AI is unsure about and tell you plainly when a rule-based step would do the job better.

How do I work out whether it is worth it?

Try the AI automation ROI calculator for a rough figure, or ask for the free AI automation audit, which looks at several tasks and suggests where to start.
