A voice note at 10pm about Florida
Your clients contact you however they like. A voice note on WhatsApp about Florida next Easter. An Instagram DM after you posted a Maldives reel. A Facebook message from a friend of a past client. An email with a long list of questions. A comment on a post asking 'how much for this?'.
You answer from your phone when you can, which is often late at night. Some messages get a reply, a few questions, and then the chat scrolls away under newer ones. Nothing records that you have an open enquiry for a family of four to Florida at Easter with a budget in mind. A week later you remember, scroll back to find it, and they have booked elsewhere.
Why social enquiries slip away
| Channel | Where it lands | Problem |
|---|---|---|
| Your personal phone | Mixed with family chats, no status | |
| Instagram DMs | Instagram app | Requests folder, easily missed |
| Facebook Messenger | Facebook page inbox | Checked occasionally |
| Inbox | Best tracked, still no brief | |
| Post comments | Under the post | Not treated as an enquiry at all |
Each channel is fine on its own. Together, with no shared view, enquiries fall between them. And a chat is not a brief: the details you need to quote are scattered through a conversation.
What lost enquiries cost
A social enquiry is a warm lead; the person already likes what you post. Losing it is money walking away. Slow replies send people to booking sites that answer instantly. And answering from your personal phone at all hours blurs the line between work and home, which wears homeworkers down.
One inbox and a trip brief
- WhatsApp Business, Instagram and Facebook messages, and your enquiry email, are brought into one inbox through the official business APIs.
- Each new conversation can be turned into an enquiry with one click. AI reads the conversation and suggests a trip brief: destination ideas, dates, party size and ages, departure airport, budget, special occasions. You check and correct it.
- If key details are missing, the system suggests a short reply asking for them, for you to send.
- Each enquiry has a status and a next action, and appears on your follow-up list until it becomes a quote or is closed.
- When you quote, the brief carries over, so nothing is retyped.
- Business hours auto-replies, if you want them, tell people when you will reply, so you do not feel obliged to answer at midnight.
We only use the platforms' official business tools. Personal WhatsApp accounts cannot be connected this way, so moving enquiries to a WhatsApp Business number is part of the setup.
Every enquiry visible, whatever app it came from
Messages from every channel arrive in one place, on your computer or phone. Each one either becomes an enquiry with a brief or is marked as not an enquiry. Your follow-up list shows who is waiting for what. When the Florida family messages again, their brief and history are right there.
A typical evening: three new messages arrive, one on Instagram asking about a Maldives honeymoon, one on WhatsApp from a past client about a ski trip, and one email. Each becomes an enquiry with a brief. Two need more details, so you send the suggested questions. The next morning, the list shows three open enquiries with next steps, rather than three chats buried in three apps.
Over a season, the inbox also tells you where enquiries come from. If most serious enquiries arrive through Instagram after a particular kind of post, that is worth knowing when you plan what to post next. If Facebook brings plenty of messages but few bookings, you can spend less time there.
