An order fails for a colour that no longer exists
Your partner's email said something about product updates, and you meant to read it. Then an order failed: the forest green tee in XL is no longer available. You check and find that the whole colour has been retired, along with two others, and that a hoodie style you use on many designs is being replaced by a different brand's blank with a slightly different fit.
You have listings for those colours on Etsy, Amazon and your shop. Some have sold in the past week. You start working through them one at a time, not sure you have found them all.
Partner catalogues change under your listings
Your listings are built on the partner's catalogue, but they do not update when it changes. The partner knows what is changing; your shop does not.
- Discontinuation notices come by email or in a dashboard banner, easy to miss.
- Colour and size availability can change without a notice at all, especially for stock-outs.
- Replacement blanks may differ in fit, print area or price.
- Affected designs are spread across several channels.
- Some partners pause a variant rather than remove it, so orders fail silently until you look.
So the first reliable signal is often a failed order or an unhappy customer.
What discontinued blanks cost
Failed orders need cancelling or refunding, and on marketplaces, cancellations count against your seller performance. Customers who wanted that colour are disappointed. Swapping to a replacement blank without checking the print area or sizing leads to prints that look different or fit differently from your listings. And the time spent finding every affected listing is time you did not plan for.
Seasonal peaks make it worse, because partners also run short of popular blanks exactly when orders are highest.
The catalogue watch we build
- Every variant in your catalogue is linked to the partner product, colour and size it depends on.
- Each day, the watch pulls product and stock data from each partner's API and compares it with what your listings rely on.
- Any change is listed with the affected designs and listings across every channel: discontinued, temporarily out of stock, price changed or replaced by a different blank.
- Temporary stock-outs can pause the variant on your channels automatically, by your rule, and restore it when stock returns.
- Permanent changes go to a list where you choose what to do: remove the colour, move to a replacement blank, or route to another partner that still offers it.
- When you move to a replacement blank, the file library checks whether your existing print files fit its print area before anything goes live.
| Partner change | Default action | Needs your decision |
|---|---|---|
| Temporary stock-out | Pause variant on all channels | No, by your rule |
| Colour discontinued | Listed with affected listings | Remove or replace |
| Blank replaced by another | Listed with fit and print area differences | Accept, switch or remove |
| Base cost changed | Passed to your price rules | Only if outside your margin rule |
Partners do not always announce changes the same way. The daily comparison catches changes in the data even when no notice was sent.
Changes you hear about before customers do
When a colour is retired, you get a list the same day, showing every listing that uses it on every channel. You decide once, and the change is pushed everywhere. Temporary stock-outs pause and resume themselves. Orders stop failing for products that no longer exist.
When a partner replaces a blank, you see the differences in fit and print area before you switch, so the product your customers receive still matches your photos.
Signs partner changes are catching you out
- You find out a colour is gone when an order fails.
- Partner product emails go unread in busy weeks.
- You are not sure every listing using a retired blank has been updated.
- Stock-outs at peak times have led to cancellations.
- Replacement blanks went live without checking your files fit.
