The pack in the bag
A family register. You hand over a registration pack: contact details, emergency contacts, collection passwords, medical information, dietary needs, consents for photos and outings, the contract and fee terms, funding declarations if they apply. It goes home in a bag. A week later it comes back with page four missing and two consents unticked.
The office types it all into the nursery system. Some fields do not have an obvious home and end up in notes. A phone number is copied with a digit wrong. The contract is signed but not dated. The first settling-in session is on Monday, and on Friday afternoon someone is still chasing the parent for the last page.
Why paper packs never come back complete
- Parents fill in the pack at different times, in different places, and some pages get lost.
- There is nothing to tell a parent they missed a section.
- Retyping into the nursery system takes time and introduces errors.
- Updates later in the year, such as a new phone number, are handled on a separate form.
- The office has no quick way to see which families still owe which forms.
What your registration pack contains, and what consents you ask for, is set by your own policies and advisers. We do not change the content. We change how it is collected.
What incomplete packs cost
Staff time spent chasing and retyping. Children starting before their records are complete. Errors in contact details that only show up when you need them. Contracts and terms that were never properly signed, which matters if there is ever a dispute about fees or notice.
It also sets the tone for a new family: a pile of paper and several chasing messages is not the welcome you want to give.
The online pack we build
- Your registration pack is turned into an online form in sections, using your wording, which parents complete on their phone or computer.
- Each section can be saved and returned to, and the form tells the parent exactly what is still missing.
- Consents are clear yes or no choices, not boxes that can be left blank.
- The contract and fee terms are shown in full and signed digitally, with the date and time recorded.
- Completed details are written into your nursery management system, where it offers an API, or into a structured record for the office to review.
- The office sees each new family's progress: sections complete, sections missing, and the first session date.
- Parents can update details during the year through the same form, and every change is dated.
| Part of the pack | Paper | Online |
|---|---|---|
| Contact details | Handwritten, retyped | Entered once, checked for format |
| Consents | Ticks, sometimes blank | Yes or no, cannot be skipped |
| Contract | Signed, sometimes undated | Signed with date and time |
| Missing sections | Found when retyping | Shown to the parent as they go |
| Updates | New paper form | Same form, change history kept |
Registration, after
A family registers and gets a link. They fill it in over two evenings. The form will not let them finish until each section is complete. The office sees it arrive, checks it, and the child's record in the nursery system is ready days before their first settling-in session.
When a parent changes jobs and phone numbers in the spring, they update it in two minutes, and the office sees the change.
Starting the move is usually simple. The office sends the online pack to the next few new families alongside the paper version, checks how it reads on a phone and adjusts any questions parents found confusing. Once it works for new starters, existing families are asked to check and confirm their details through the same form at the start of the next term.
Is your registration pack still on paper?
- Registration packs come back incomplete.
- The office retypes forms into the nursery system.
- Children start before all forms are in.
- Contracts are sometimes signed without a date.
- Updating details means another paper form.
