Messages at eleven at night
Engagement ring enquiries rarely arrive during shop hours. A message on Instagram late at night asking whether you can do an oval lab-grown diamond on a thin platinum band. A website form with a budget and a proposal date six weeks away. A phone call from someone who does not want to leave a name in case his partner overhears.
The owner answers the Instagram message from her phone the next morning. The website form goes to an inbox that is checked every few days. The phone caller is told to come in on Saturday and does not.
Weeks later, one of them walks past with a ring from another jeweller on his partner's hand. Nobody in your shop followed up.
Why engagement enquiries slip away
Buyers are nervous, secretive and slow to decide. They make several enquiries, compare answers and come back weeks later. The shop that is still in touch when they are ready has the best chance.
Enquiries come in through channels that do not talk to each other: social media messages, website forms, email and the phone. Each is answered by whoever sees it, with no shared record.
Details are the key to a good follow-up, and they get lost. Budget, stone shape, metal, lab-grown or natural, proposal date, partner's style. Without them, a follow-up message is generic and easy to ignore.
What unanswered enquiries cost
| Problem | Effect |
|---|---|
| Enquiries spread across channels | Some never answered at all |
| No shared record | Buyers asked the same questions twice |
| No follow-up prompts | Buyers go quiet and buy elsewhere |
| Details forgotten | Generic replies that miss what they asked for |
| Proposal dates ignored | Too late to make something bespoke |
An engagement ring is often the start of a long relationship with a customer: wedding bands, anniversary gifts, valuations and repairs for years. Losing the enquiry loses all of that.
Lab-grown diamonds have made the comparing more intense. Buyers now weigh natural against lab-grown, compare prices between shops and online retailers, and ask more questions before they visit. An independent jeweller's advantage is advice and care, but that advantage only shows if the conversation keeps going. A reply that arrives three days late, or a follow-up that asks the same questions twice, gives it away.
How we keep engagement enquiries warm
- Instagram and Facebook messages, website forms and your enquiry email feed into one list, each creating an enquiry record. Phone enquiries are added by staff in a few taps.
- Each record holds the buyer's details and what they told you: budget range, stone, shape, metal, ring size if known and the proposal date.
- An owner is assigned for each enquiry, so one person is responsible for keeping in touch.
- Follow-up prompts appear at intervals you choose, and more urgently when a proposal date is approaching. Suggested messages use their own details.
- Appointments booked from the enquiry go into the diary, with the details ready for whoever sees them, and discreet reminders that avoid the partner seeing anything.
- Outcomes are recorded (bought, bought elsewhere, still deciding), so you can see where enquiries come from and which turn into sales.
If you already use a CRM such as HubSpot, we build the enquiry list there. Otherwise, a simple purpose-built list is usually enough.
For phone enquiries, where the caller often will not leave a name, staff can record a first name, a callback preference and the details discussed, so the next person who speaks to them does not start from nothing. Nothing about a proposal is ever sent to an address the buyer has not chosen.
An enquiry that becomes a sale
The late-night Instagram message becomes an enquiry with a budget and a proposal date. The next morning, the owner replies with two ideas. A week later, the system prompts a follow-up with a photo of a suitable oval. He books an appointment. The proposal date is on the commission from the start.
- Every enquiry in one list, whatever the channel
- Buyers' preferences and dates recorded once
- Follow-ups prompted before buyers go quiet
- Discreet communication that protects the surprise
Signs you are losing engagement enquiries
- Enquiries arrive on Instagram, email, website and phone.
- Only the person who replied knows about each enquiry.
- You rarely follow up with buyers who went quiet.
- Budget and preferences are lost in message threads.
- You do not know which enquiries turned into sales.
