Friday night, and nobody for Saturday afternoon
The rota for this week was pinned up on Monday. On Thursday your Saturday student messaged the group to say they have a university open day. Someone offered to swap, then realised they are working at their other job. Nobody else replied. On Friday night you work out that you will do Saturday afternoon yourself, again.
Next month the term changes, two people's availability changes, and the whole rota needs redoing.
A small team makes rotas harder, not easier
Rota software is often designed for bigger businesses with dozens of staff. In a small shop, each person matters more, availability is more personal and the owner is the default cover for every gap.
- Most staff are part-time and many have other jobs or studies.

Rota apps such as Deputy and RotaCloud exist and work well for many shops. If one fits, we will say so. We build when your shop needs something simpler, or linked to your till and busiest hours in a way those tools do not cover.
What an informal rota costs
The owner absorbs every gap, often on the days they meant to spend buying, doing the accounts or with their family. Staff find out about changes late, or not at all, and turn up on the wrong day.
Pay errors are the other risk. Hours added from a paper rota with swaps written in pen are easy to get wrong, and a small team notices quickly.
How we build a rota for a small shop
- Each person sets their regular availability and marks exceptions, such as exams or holidays, on their phone.
- You set how many people each day and time needs, with more for Saturdays, school holidays and December.
- A draft rota is suggested from availability and your rules, and you adjust it before publishing.
- Gaps are shown clearly, and you can offer an open shift to everyone available in one message.
- Swaps are requested and accepted in the app, and only take effect when you approve them, so the rota always matches reality.
- Hours worked are totalled for each person each pay period, ready for your payroll or accountant.

Break times, minimum rest and working hours for younger staff are matters of employment rules and your own policy. The rota can warn you about what you set, but it does not decide what the rules are.
A normal month with the rota
You publish next month's rota in a few minutes from availability everyone has already entered. Gaps are visible early, when someone can still be found. When your student needs a Saturday off, the swap is requested, accepted and approved in the app, and everyone sees the updated rota.
At the end of the month, the hours are already added up.
When December comes and you need extra people on Saturdays and late opening evenings, you can see straight away who is available and where the gaps are, weeks ahead rather than on the Friday night before.
