Two empty nights in the middle of August
One guest leaves on a Monday and the next arrives on Wednesday. The property's rule in August is a seven-night minimum, so those two nights will never sell. Across your portfolio, there are dozens of gaps like this each season, spread across calendars nobody has time to review one by one.
Sometimes a sharp-eyed colleague spots one and relaxes the minimum stay. Most of the time, the nights stay empty.
Why gaps go unnoticed
Gaps are created by bookings, cancellations and date changes that happen constantly. Minimum stays and changeover days, which make sense for the season, turn the leftover nights into dates nobody can book. Your channel manager shows availability, but it does not point out that a particular gap is unbookable under the current rules.
Changing rules for a specific gap is a manual job, and owners may have preferences about short stays, so it needs thought each time.
What empty gaps cost
Unbookable nights are income that owners never see and your agency never earns commission on. They also make calendars look busier than they are, which can hide the real occupancy picture. And when gaps are filled with last-minute short stays without planning, changeovers can land on days the cleaning team is not prepared for.
The gap finder we build
We build a tool that finds gaps and makes filling them a quick decision. It suggests; your team and owners decide.
- Calendar scan: every property's calendar is read daily from your property management system, looking for gaps shorter than the minimum stay or blocked by changeover day rules.
- Gap list: each gap is listed with property, dates, the rule blocking it and how far away it is.
- Owner preferences: each owner's preferences, such as no one-night stays or no short stays in peak, are recorded and respected in suggestions.
- Options: for each gap, the tool suggests options such as relaxing the minimum stay for those dates, allowing a different changeover day, or offering an extension to the guests either side.
- Approval and push: your team approves an option, and the change is pushed through your channel manager for those dates only.
- Cleaning check: before a change goes live, the tool checks that the resulting changeover would fit your cleaning schedule.
| Gap | Blocking rule | Possible option |
|---|---|---|
| Two nights in August | Seven-night minimum | Allow a two-night stay for those dates |
| Three nights mid-week | Saturday changeover only | Allow a mid-week arrival for those dates |
| One night between stays | Two-night minimum | Offer an extension to the guest either side |
After the change
Your team sees every unbookable gap across the portfolio in one list, each with a suggested option. Decisions take seconds. Changes apply only to the dates concerned, so seasonal rules stay intact elsewhere. Owners' preferences are respected, and cleaning is not caught out.
You also build up a record of which options work for which properties, which helps when setting rules for next season.
Signs you need this
- Short gaps between bookings often go unsold.
- Nobody reviews every property's calendar for gaps.
- Minimum stay rules are changed by hand when someone notices a gap.
- Owners have preferences about short stays that are not recorded.
- Short-notice short stays catch the cleaning team out.
