A folder of freezes nobody is watching
A member emails: they are travelling for six weeks and want to freeze. Another tells the front desk they have a knee operation and will be out for two months. A third asked last spring, and nobody remembers what was agreed. Your freeze policy says a minimum period, a maximum per year and a small monthly fee, but staff apply it differently.
Each freeze is set up by hand in the management system or the direct debit provider. Some staff put a reminder in the diary to restart; some do not. Months later, you discover members who have been frozen for far longer than agreed and still come in, and one member who was charged during a freeze and is now asking for a refund.
A freeze is a start date and an end date
The logic of a freeze is simple. The problem is that it is set up manually, in more than one system, with the end date living in somebody's head.
- Requests arrive by email, desk conversation and social media message.
- Your policy on length, fees and evidence is applied inconsistently.
- Pausing payment and pausing access are done separately, sometimes by different people.
- Restarts rely on a diary reminder or memory.
- Nobody has a list of everyone currently frozen and when each freeze ends.
Payment providers add a wrinkle. Pausing a subscription, skipping a set number of collections and cancelling then re-creating a payment plan all behave differently, and a member who was 'paused' the wrong way may simply never be collected from again.
Lost income and awkward refunds
Freezes that do not restart are income you are entitled to under your terms but never collect. Members who were charged while frozen want refunds and are unhappy, which hurts the relationship and sometimes leads to a cancellation.
Inconsistency causes its own problems. Members compare notes. When one was allowed a three-month freeze for free and another was charged, the front desk has a difficult conversation. And staff spend time checking back through emails to see what was actually agreed.
Freezes with your rules built in
- Members request a freeze through a form in your app, website or by a link from the desk, choosing dates and a reason.
- The form applies your policy: minimum and maximum lengths, how many per year, any fee and any evidence you require for particular reasons.
- Requests that meet the policy are approved automatically, or sent to a manager if you prefer to approve all of them.
- On approval, collection is paused or adjusted through your payment provider and the membership status updated in your gym management system, with any freeze fee applied as your terms state.
- Door access follows your rule for frozen members.
- On the end date, collection and access restart automatically, and the member is sent a welcome back message a few days before.
- Members can ask to end a freeze early or extend it through the same form.

A freeze list you can trust
Front desk staff answer freeze questions by pointing members to the form. Managers see one list of current freezes, when they end and the reasons. Restarts happen on the right date, and members get a friendly nudge before they are due back, which is a good moment to book them into a class or a session.
The policy is applied the same way for everyone, which removes the awkward comparisons. And if a member queries a charge, you can see exactly what was requested, approved and collected.
