Stuck on a system you have outgrown
Your current gym management system was fine when you had one site and a few hundred members. Now it cannot handle your class booking properly, the member app is poor, reporting is weak and it does not connect to the new door system. You have seen a better system, and the supplier says switching is easy.
But you have members on many plans, direct debits running through a bureau linked to the old system, PT packages with balances, class bookings for weeks ahead and fobs set up in the old system. If a member's payment goes wrong or they are locked out, you hear about it immediately. So the switch keeps being postponed.
The hard part is the data, not the software
New software suppliers help with setup, and often import members from a spreadsheet. The risk sits in the details that a spreadsheet import does not handle well.
- Plans in the old system do not map neatly onto plans in the new one.
- Direct debit mandates may need to be transferred between providers, with notices to members depending on how it is done.
- Payment history, arrears and credits must come across correctly.
- PT packages, class credits and freezes have balances and dates.
- Access credentials must keep working on the day of the switch.
- Staff and members need to know what changes and when.
None of this is impossible. It just needs planning, testing and checking, which is hard for a gym team to do alongside running the gym.
What a bad migration costs
Failed collections in the first month after a switch are common when mandates or amounts are moved incorrectly. Members locked out, double charged or missing from class bookings complain loudly and some leave. Staff lose confidence in the new system before it has had a chance.
Staying on the old system has a cost too: features you cannot use, workarounds your staff maintain and a member experience that lags behind competitors. That cost is quieter, but it grows every month.
A migration planned, tested and checked
- We export everything from the old system and payment provider and map it to the new system: members, plans, prices, history, balances, bookings and credentials.
- Plans that do not map are listed for your decision, such as retiring them or creating equivalents.
- We work with your payment provider and new system supplier on the mandate transfer method, so members receive whatever notice is needed and collections continue without a gap.
- A test migration runs into the new system with real data, and we check a sample of members of every type field by field.
- Access control is connected to the new system and tested with real fobs before cutover.
- On cutover, a final migration runs, followed by automated checks for every member: plan, amount, next collection date, access status and balances.
- For the first collection cycle, we compare expected and actual collections and list every difference for follow-up.

A switch members barely notice
Members get a message about the new app and how to log in. Their payments continue as before, their fobs still work and their bookings are still there. Staff have been trained on the new system with real member data, so the first busy morning is not their first time using it.
The first month's collections are compared with expectations, and any differences are dealt with before members notice them. After that, you are using the system you wanted, with a clean data set.
It also gives you a moment to tidy up: plans nobody sells any more, members with duplicate records and old notes can be cleaned up during the move instead of being carried into the new system.
