A cancelled member swipes in on a Saturday
A member cancelled three months ago. On Saturday morning, they swipe in with their fob, and the door opens. Nobody is on the desk until 9am, so nobody notices until you check the door log for a different reason and see their name.
The same week, a member who paid through a new mandate after a failed payment is refused at the door at 6am, because someone disabled their fob and did not re-enable it. They message the owner, frustrated, before work.
Two lists that drift apart
Access control systems, such as Paxton Net2 and similar, keep their own list of users and fobs. The gym management system keeps the membership list. Unless they are linked, each change has to be made twice.
- New members are added to the door system by hand when they collect a fob.
- Cancellations, freezes and failed payments are updated in the management system but not always at the door.
- Restored members are not always re-enabled.

The door system is doing its job perfectly. It is just working from an out-of-date list.
Small chains feel this more. A member who joins at one site may have access to all sites, or only their home site, depending on their plan. Each site may have its own controller, set up by a different installer at a different time, and keeping all of them in step with the membership list becomes a weekly job that nobody quite owns.
Shared fobs make it worse still. When a member lends their fob to a friend, the door log records the member, and nobody would know unless they checked camera footage against visit times.
What mismatched access costs
People training without paying is direct lost income, and in a gym with unstaffed hours it can go on for months. It also affects fairness for paying members, and can matter for your insurance and your own safety procedures if you need to know who was in the building.
Locking out a paid member is the opposite problem, and it damages the relationship quickly, especially early in the morning or late at night when there is nobody to call.
Access that follows membership status

Access rules are your policy. The system applies them consistently, logs every change and never makes a change you have not defined.
Doors that agree with the membership list
Access now matches membership status without anyone updating two systems. The daily mismatch report is usually empty. When a member queries why they cannot get in, staff see the reason immediately.
For unstaffed hours, you can trust that the people coming in are members in good standing. And members who fix a payment at 11pm can train at 6am without waiting for someone to re-enable them.
The door log also becomes more useful. Because every credential belongs to a current member record, visit data can feed attendance reports rather than being a list of fob numbers nobody can match to a name.
