Quick answer — TL;DR

Transcription is the least glamorous and most reliably useful AI in most businesses: calls, meetings and site visits captured, summarised and filed automatically. The value is in what happens to the output, not in the transcript itself.

The value is downstream

A transcript on its own is of limited use — nobody reads a forty-minute conversation. The value comes from what is extracted: the decisions, the actions, the commitments, filed against the right customer or project.

Any transcription project should be scoped around that, not around the transcription accuracy which is largely a solved problem.

Where it pays

  • Sales calls — summary and next steps into the CRM without anyone typing
  • Client meetings — agreed actions captured, which prevents the “I thought you said” conversation later
  • Site visits — a voice note becoming a structured report
  • Support calls — searchable history and pattern analysis across calls
  • Interviews and research — where transcription used to consume days

Accuracy expectations

Modern transcription is strong on clear single-speaker audio and less so with crosstalk, heavy background noise, strong regional accents or specialist vocabulary.

Feed it your terminology. Product names, client names and industry jargon are the usual errors, and most services allow a custom vocabulary that fixes them.

Recording conversations carries legal requirements that vary by jurisdiction and by whether the other party is informed. Get this right before deploying rather than after.

  1. Announce recording at the start, clearly
  2. Provide a way to decline that does not end the conversation
  3. Decide retention and stick to it — recordings accumulate quickly
  4. Restrict access, particularly for customer conversations
  5. Check the position for calls involving other jurisdictions

Summaries need structure

A generic summary is of moderate value. A structured extraction — decisions, actions with owners, dates committed, risks raised — is what people actually use.

Define the structure to match how your business works, and route the output into the system where the work happens rather than into an email nobody files.

The trap: recording everything

It is tempting to record every conversation because storage is cheap. That creates a large body of sensitive material with retention and access implications, and it changes how people speak.

Record what has a purpose, keep it as long as the purpose lasts, and be clear with everyone about both.

Ask about your project

What does transcription cost?

Per-minute pricing is low and falls regularly. The cost is usually the integration and the summarisation rather than the transcription itself.

Is it accurate enough for records?

For notes and summaries, yes with review. For anything that must be verbatim and relied upon — disciplinary, legal — human verification is needed.

Where should transcripts be stored?

In a system with access control and defined retention, not in individual inboxes. Customer conversations deserve the same protection as customer records.

Can it work in other languages?

Major languages are well supported, and accuracy varies. Test with your own audio before relying on it, particularly for accented speech.
