A funeral paid for, a claim waiting
A family have told your arranger they are applying for a government payment to help with the funeral costs. The funeral goes ahead with dignity, as it should. Weeks later, the account is still open. Nobody at your firm knows whether the claim has been decided, whether the family have heard anything, or whether any payment will come to you or to them.
The account sits in the overdue list alongside accounts that are simply unpaid, and someone nearly sends a reminder to a family who are waiting on a decision.
Why these accounts are hard to follow
The claim belongs to the family, not to your firm, so you rely on what they tell you. And the process has its own pace.
- The family make the claim and receive the decision.
- Your firm may need to provide an estimate or invoice for the claim.
- Decisions and payments arrive at different times.
- Any payment may not cover the whole account.
- These accounts look the same as unpaid accounts in the ledger.
The cost of not knowing
Families in this position are often under financial strain as well as grieving. A reminder letter at the wrong moment, or a confusing conversation about who is paying what, adds to their distress.
For your firm, these accounts can stay open for a long time, and without a clear record it is hard to know which need a gentle conversation and which are simply waiting.
Claim tracking on each funeral
What we build records the claim on the funeral and keeps it clearly apart from ordinary unpaid accounts.
- At the arrangement, the arranger can note that the family are applying for a government funeral payment, with the date they expect to apply.
- Documents your firm provides for the claim, such as the estimate or invoice, are produced from the funeral record and logged with the date sent.
- The account is marked as awaiting a claim, so it is excluded from any automatic reminders.
- Check-in dates are set, and the arranger is prompted to ask the family gently how the claim is going, recording what they say.
- When a decision or payment arrives, it is recorded, the account updated, and any remaining balance discussed with the family by a person.
- A view of all funerals awaiting claims shows how long each has been open and the last contact.
| Stage | What is recorded |
|---|---|
| Family plan to claim | Noted at arrangement, account marked |
| Documents provided | Estimate or invoice, date sent |
| Waiting for decision | Check-in dates, family updates |
| Payment received | Amount applied, remaining balance for a conversation |
We do not advise families or your firm on eligibility or the claims process. Families should be pointed to the official guidance and advice services, as your firm already does.
The same account, clearly marked
The account shows as awaiting a claim, with the date the family applied and the invoice your firm provided. It never receives an automatic reminder. On the check-in date, the arranger phones the daughter, who says the decision has arrived and a payment is expected. When it comes, it is recorded, and the arranger calls to talk through the rest of the account kindly.
Are claim accounts mixed in with the rest?
- Accounts waiting for a government claim look like unpaid accounts.
- You do not know where a family's claim has got to.
- Reminders have nearly gone to families waiting on a decision.
- Documents provided for claims are not logged.
- Remaining balances after a payment are not followed up clearly.
