Handover day and a folder of gaps
Your team has installed fire doors throughout a new residential block: flat entrance doors, communal doors, riser cupboards. The main contractor wants the handover pack: for each door, its location, door set and product details, certification label, hardware, installation checks and photos. The fitters took photos, but on their own phones. Some labels were photographed, some were not. The product data sheets are in the supplier's email.
Your project manager spends days chasing fitters for photos, matching them to door numbers, and assembling a pack. Some doors have to be revisited to photograph labels that are now painted over or hard to reach.
Why evidence is gathered too late
Fitters are focused on getting doors in properly. Recording evidence for each door feels like paperwork, and without a simple tool it is done inconsistently or left until the end.

How the project looks from the project manager's desk
Mid-way through the job, the project manager sees that floors one to four are complete with evidence, floor five has two doors missing label photos, and a hardware substitution on floor three needs a note from the supplier. The fitter on floor five goes back to those two doors that afternoon before the frames are finished. At handover, the pack is generated the same day the last door is signed off.
