A Saturday with four parties
Your farm park runs parties in two party rooms, with a hosted animal handling session and party food. On a typical Saturday there are four. Each was booked by phone, weeks ago. Since then, the parent has emailed twice to change numbers, once about a nut allergy, and once to ask if a sibling can come.
On Friday, the café manager asks for final numbers and food choices. Someone goes through the emails. One parent has not replied. Another's allergy note is in an email the café never saw. On Saturday, the host finds eleven children in a party booked for twelve, with one who needs a different menu nobody prepared.
Why parties are admin-heavy
Parties combine several things: a room and time slot, a host or activity, food, guest numbers, dietary information and a deposit and balance. Each changes in the weeks before, and each involves a different part of the team.
Phone and email bookings mean every change is a conversation, recorded in whatever place the person answering happened to use.
Dietary information is the most sensitive part. Your own food safety procedures decide how allergies are handled. The admin problem is making sure the information reaches the café and host reliably.
What phone-booked parties cost
| Gap | Effect |
|---|---|
| Bookings by phone | Staff tied up on calls |
| Changes by email | Information not reaching the café or host |
| Room slots in a diary | Double-booked party rooms |
| Deposits chased by hand | No-shows with no deposit taken |
| Final numbers chased the day before | Food over- or under-ordered |
Online party booking with the details built in
We build a party booking flow on your website, linked to your party rooms and your café.
- Parents see available party slots by room and date, with the packages you offer, and book with a deposit by card.
- Before the party, they get a link to a party form: final guest numbers, food choices per child and dietary requirements in structured fields, with a cut-off date.
- Reminders go out if the form is not complete by the cut-off, and your team is alerted if it is still missing.
- The balance is taken by card before the day, or at the party, as you prefer.
- A party sheet is produced for each party, with numbers, food, dietary notes and the host's timings, for the café and hosts.
- Admission tickets for party guests are created automatically, so the gate knows they are coming.
How allergies and special diets are catered for is your own food safety policy. The sheet makes sure the information is in front of the people who need it.
Cases we handle
- Adults accompanying children: counted for admission but not food, following your package rules.
- Siblings who want to join: added to the form, with a price if your package charges for extras.
- Parties cancelled at short notice: your cancellation terms applied to the deposit.
- Parties that include an activity with an age limit, such as climbing: the form asks for ages.
A Saturday with four parties, afterwards
On Thursday, all four party forms are complete, with food and dietary notes. The café prints party sheets on Friday. Hosts know their timings. At the gate, party guests are on the list. The phone rings less.
- Party rooms booked online with deposits
- Guest numbers and food confirmed in a form
- Dietary information on the party sheet
- Fewer calls and emails before each party
