A bill that is several times larger than usual

Why estimates go unnoticed

Estimated reads are normal and often harmless for a month or two. They become a problem when they run for a long time, and nobody is counting.

A large catch-up bill is a cash flow shock for the client and an uncomfortable conversation for the consultancy. Clients reasonably expect the people they pay to watch their energy to have spotted it.

Long runs of estimates also undermine everything else: consumption reports are wrong, budgets are wrong, and tenders may be based on consumption that does not reflect the site.

The work to put it right afterwards is heavier than the work to prevent it. Someone has to piece together the read history, check the actual read is genuine, compare it with any interval data and correspond with the supplier about the bill, all while the client is waiting for an answer about a figure they did not budget for.

Monitoring estimates across every meter

  1. When bills are read, each read is recorded with its type: actual, estimated, customer read, and so on, using the supplier's own markers.
  2. For each meter, the system tracks the date of the last actual read and the run of estimated bills since.
  3. Meters that pass a threshold you set, such as a number of months on estimates, are flagged.
  4. Flagged meters trigger action: a read request to the site, a check of whether a smart or AMR meter is communicating, or a supplier query.
  5. Consumption on estimated bills is compared with the meter's history and any interval data, so estimates far from normal use are highlighted.
  6. A dashboard shows every client's meters by estimate status, so account managers can raise it with clients before a catch-up bill arrives.

Warnings before the shock

An account manager sees that one of their client's sites has gone several months without an actual read, and that the estimates are well below the site's usual use. Patterns become visible too. If the same sites go onto estimates every winter, or one supplier's meters stop communicating more often than others, you can raise it with the client or the supplier as a specific, dated problem rather than a general complaint.
