Members, Renewals and Access
Last updated:
Members do not decide to leave
They forget to renew, their card expires, or the reminder went to an address they no longer use. Each of those is preventable and each is losing revenue quietly.
Fixing the renewal process usually recovers more revenue than any recruitment campaign, for a fraction of the effort.
What the renewal process needs
- Reminders before expiry, at sensible intervals
- Card expiry warnings before the payment is attempted
- Retry logic on failure, with notification
- One-click renewal that does not require a forgotten password
- A grace period before access is removed
Categories get complicated
- Concessionary and student rates, with progression
- Corporate memberships covering several individuals
- Life and honorary members
- Joint or family memberships
- Pro-rata joining partway through a year
Model these properly at the start, or half your members end up handled as exceptions in a spreadsheet.
Self-service reduces administration
| Members can | Removes |
|---|---|
| Update contact details | An email to the office |
| Change payment method | A phone call |
| Download receipts | A request |
| See their history | A query |
| Manage communication preferences | A compliance risk |
Communications and consent
Preferences recorded per channel, consent dated and evidenced, unsubscribes honoured immediately, and a record of what was sent to whom.
That last one answers most member queries and is frequently the thing nobody built.
Frequently asked questions
Should we use membership software instead?
How much revenue does renewal automation recover?
Can it integrate with our accounts?
What about members without email?
Members lapsing without deciding to?
That is a renewal process problem and usually the cheapest revenue available.
