Searching an inbox for last year's training
A webinar certificate is somewhere in your email. A weekend workshop gave you a PDF you downloaded onto a laptop you have since replaced. You read three books that count, and you remember roughly when. A reflective write-up was started for one of them and never finished.
Renewal time arrives and you have to show a year of development, with dates, hours and something about what you took from each. It takes a weekend and it still feels thin.
Why CPD evidence scatters
CPD happens in lots of small pieces through the year, in different formats, and none of them has an obvious home.
- Online courses email a certificate to whichever address you signed up with.
- In-person training gives paper handouts and sometimes nothing at all.
- Reading, peer groups and supervision-related learning have no certificate.
- Reflections are meant to be written soon afterwards, which rarely happens.
The renewal form asks for all of it in one shape, but nothing collected it in that shape along the way.

Counsellors often do more development than their records show. A lunchtime webinar, a chapter read on the train, a peer group on a Thursday evening: all of it counts for something, and most of it goes unrecorded because writing it down at the time felt like too much effort for something so small.
The reflective part suffers most. A reflection written the week after a workshop has substance. One written eleven months later, to fill a box on a form, rarely does.
A CPD log that fills itself in
- A dedicated forwarding address. Any certificate or booking confirmation you forward is filed against the right date and course automatically.
- Extraction of the basics. The course name, provider, date and hours are read from the certificate, and anything unclear is left for you to confirm rather than guessed.
- Quick logging for activity with no certificate: a short form on your phone for reading, peer groups or conferences.
- A reflection prompt a few days later, with the course already filled in, so the write-up happens while the learning is still fresh.
- Categories and totals set to match your renewal, so you can see where you are through the year.
- An export for renewal: dated activities, hours, evidence attached and reflections, in the order your form asks for.
We use a small AI step (OpenAI or Anthropic Claude) only for reading dates and titles from certificates, and every extracted entry is shown to you before it is saved.
What renewal looks like afterwards
You open the log, check the totals and export. Certificates are attached, reflections were written when you had something to say, and the gaps are visible months early, while there is still time to book something.
For practice leads, the same log can show each associate's CPD status, so membership and insurance questions have a straightforward answer.
