A trust's supplier form for a Year 7 trip
A secondary school in a multi-academy trust books a coach for a Year 7 trip to a science museum. The trip leader emails a supplier form from the trust: operator licence number, insurance details and expiry, confirmation that the vehicle has seat belts, confirmation that drivers have had the checks the trust requires, a named contact on the day, and a copy of your insurance certificate.
Someone in the office opens the shared drive and looks for the current insurance certificate. There are three versions. The licence details are easy. The driver checks are in personnel files, and the driver has not been allocated yet. The form goes back two days later, after the trip leader has chased once.
Every school asks slightly differently
School trip work is valuable and repeat, but each school, trust and local authority has its own supplier checks. The information is the same, but the forms and the timing vary, and the documents are spread across the office.

Slow answers look disorganised to schools
A trip leader who has to chase the coach company for documents is left with a doubt about the whole booking, and schools talk to each other. Sending an expired certificate by mistake is worse. For the office, each request takes time that adds up across the school trip season, which is also your busiest time for quotes.
Repeat school customers also get asked for the same things every trip, when they would be happy with a standing pack for the year.
A document store and trip packs
We build a document store for the evidence schools ask for, and a way to answer requests from it.
- Company documents (operator licence details, insurance certificate, policies schools often ask for) are held once, with expiry dates and a single current version.
- Expiry dates alert the office in advance, so renewed documents are uploaded before the old ones lapse.
- Driver records hold the dates of the checks your policies require, with expiry reminders. Only the confirmation schools need is shared, not the underlying personal documents.
- When a school request arrives, the office picks the booking and the pack is assembled: company documents, vehicle details (seat belts, capacity) and the allocated driver's confirmation once allocated.
- Where a school sends its own form, an AI step fills in the fields it can from your records, and a person checks and completes the rest before it goes.
- Each school's record shows what was sent and when, so repeat customers can be sent an annual pack and trip-specific updates only.

Answering the same request with the pack
The trust's supplier form arrives. The office opens the booking, and the form is filled from records within minutes, apart from the driver, who is allocated the following week. The company documents go straight back with a note that driver confirmation will follow. When the driver is allocated, the confirmation goes automatically to the trip leader.
At the start of the next school year, the regular schools get an annual pack with the current documents, and trip leaders stop asking for the same certificate every time.
