A week before the dinner
Thirty tables are sold, mostly to local businesses, a few to individuals. Half of the table hosts have sent their guest names, some in an email, some on a form, one on the back of a business card. The caterer wants dietary requirements by Friday. The venue wants a table plan. The auction lots, a weekend in a cottage, a signed football shirt, a meal for four at a local restaurant, are listed in a spreadsheet with a note of who donated each and what they said about restrictions.
On the night, someone takes paper bid sheets round the room. Afterwards, the winning bidders need contacting, paying and thanking, as do the donors of the lots. Two weeks later, one lot is still unpaid and nobody is sure whether the winner was told the cottage is only available out of season.
Why gala admin gets messy
A gala dinner combines ticketing, hospitality, fundraising and donor care, each with a different spreadsheet owner.

The underlying problem is that the evening's data is treated as disposable, when every guest and donor is a potential supporter.
What the chaos costs
Last-minute guest lists lead to wrong place cards and meals, which reflect on the charity in front of the people you most want to impress. Unpaid auction lots mean money promised on the night never arrives. Lot donors whose conditions are ignored may not donate again.
And after the dinner, the guest list is often lost in someone's email, so the people who spent an evening learning about your work never hear from you again.
How we build the gala event record
- Tables and tickets are sold through one booking page, or imported from your ticketing tool, creating a host record for each table.
- Table hosts get a link to add their guests' names, dietary and access needs, with reminders until complete.
- A seating plan view lets the organiser arrange tables and guests, and produces venue lists, caterer counts and place cards from the same data.
- Auction lots are recorded with donor, description, value guide, conditions and expiry, and donors receive a confirmation of what they have pledged.
- Bids on the night are recorded, either by staff entering paper bid sheets or through a mobile bidding page if you choose to use one.
- Winners receive a payment link, through Stripe or your existing card processor, with the lot conditions stated clearly.
- Guests, winners and lot donors are written to your CRM with the event attached, so they can be thanked and invited again.

Paper bid sheets still work well at many dinners. The system simply makes sure what is written on them turns into payments and thanks.
After the next dinner
By the Friday deadline the caterer has final numbers, because hosts have been reminded automatically. On the night, the team works from printed lists that match reality. By the next morning, winning bidders have their payment links and each lot donor has been told what their lot raised.
A few weeks later, guests who were new to the charity receive a follow-up about the work their evening supported, because their details reached the database.
