The couple in room 3 are catching an early ferry. They come down at seven, have a quick coffee, and knock on the kitchen door to say goodbye while you are cooking for room 1. 'We still owe you for the second night, don't we? Can we pay by card?' The card machine is in the hall, it needs to wake up, and you have eggs in the pan.

Sometimes you take the payment and burn the eggs. Sometimes you say 'don't worry, I'll send you a link', and then it takes three emails and a week to get paid. Once or twice, guests have left while you were upstairs, meaning to pay, and it never happened.

Why checkout collides with breakfast

A hotel has a reception desk and someone behind it. A B&B has you, and the busiest hour of your morning is exactly when guests want to leave.

  • Guests leaving early do not want to wait, and you do not want to make them.
  • Chasing a balance after departure is awkward and slow.

What rushed checkouts cost you

Unpaid balances that take days to collect, and occasionally never arrive. Breakfast service interrupted at the worst moment. A slightly flustered goodbye to guests who had a lovely stay and deserve a proper send-off.

It also costs you in the evenings, when you sit down to work out who still owes what, send payment requests, and check the bank to see if they have arrived.

The amount owed is often the hardest part to get right in a hurry. A deposit paid by bank transfer in March, a second night added by phone, a single occupancy discount on one night, two packed lunches and a dog charge: working that out in your head at the kitchen door, with the guest waiting and the toast burning, is how mistakes happen in both directions.

And some guests feel awkward too. They want to pay and go, and knocking on the kitchen door while you are clearly busy is not how they wanted to end a nice stay. Several will say they will pay later, with the best intentions, and later becomes a reminder email you would rather not send.

  1. The evening before departure, each departing room gets a message with a link.
  2. The link shows the booking, the deposit already paid, the balance, and any extras you have recorded, such as packed lunches or a bottle of wine.
  3. Guests pay by card or phone wallet through your payment provider, such as Stripe or the online payments service linked to your card machine, and get a receipt by email.
  4. You see who has paid on your phone. On the morning, you know who is settled and who is not.
  5. Anything added in the morning, such as a packed lunch for the road, can be paid the same way, or added after departure with the guest's agreement.
  6. Guests who prefer to pay at the door still can. The link is an option, not a rule.
