Your supplier support inbox on a Monday: how do I upload variants? Why was my listing rejected? When is my next payout? Why was commission charged on delivery? How do I change my bank details? A buyer has not collected, what do I do? Most have been answered many times. Each still takes a support agent a few minutes, because they have to look up the supplier's account to answer properly.
The inbox grows as you recruit suppliers. The support team does not.
Some questions arrive at the worst moments. A new supplier trying to upload their catalogue on a Sunday evening gets stuck on the variant format, gives up, and does not come back to it for a fortnight. A supplier who cannot see why a payout was short emails three people at once.
Why supplier questions take so long
Supplier questions fall into two groups. Some are about how the marketplace works, with answers in your seller guides, if suppliers read them. Others are about the supplier's own account: a specific listing, a specific payout, a specific order. Those need a lookup in the platform, the payment provider or the dispute log.
Help centres handle the first group partly. Nothing handles the second without a person.

What the backlog costs
Slow answers frustrate suppliers, especially new ones who are trying to get their catalogue live. Frustrated suppliers list less, update less and are more likely to leave. Support staff spend their day on repetitive lookups instead of the problems that need them, like a supplier whose payouts are stuck or a complex dispute.
The cost grows with success, because every supplier you recruit adds to the inbox.
Knowledge also sits with a few experienced agents. They know which answers are in the guides and which are exceptions agreed with particular suppliers, and when they are off, answers slow down or become inconsistent.

- Account lookups: the assistant, logged in as the supplier, can look up their listings, review outcomes, orders, payout statuses and commission lines through read-only access to your platform and payment data.
- Answers with sources: it answers using a model such as Anthropic Claude or OpenAI, grounded in the guides and the supplier's data, and shows where each answer comes from.
- Simple actions: routine requests, such as resending a payout statement or explaining a rejection with the fix needed, are handled directly under rules you set.
- Handover: anything outside its scope, such as a disputed fee, bank detail changes or a complaint, goes to your support team with the conversation and the relevant data attached.
- Improvement loop: unanswered and escalated questions are reviewed weekly to improve guides and rules.
Sensitive actions like bank detail changes always go through your normal verified process, not the assistant.

Suppliers get answers to routine questions straight away, specific to their account. Your support team works on the cases that need judgement, with context already gathered. New suppliers get through onboarding faster because their questions about uploads and listing rules are answered as they work.
The weekly review of escalated questions also tells you where the marketplace itself is confusing: a fee that suppliers keep misreading, or an upload rule that trips everyone up, which is often better fixed in the product than answered forever.
