Before scoping anything we ask what you already pay for and what tier you are on. Then we check whether the thing you want is already available and switched off.

It happens often enough that we do it every time. Email rules, accounting reminders, CRM workflows, approval flows, document generation, scheduling — all commonly included and commonly unused.

What is usually already there

• Accounting packages: payment reminders, recurring invoices, bank rules, approval workflows
• Office suites: forms, approval flows, document generation, mailbox rules
• CRMs: task automation, routing, email sequences, duplicate detection
• Operational software: scheduled reports, notification rules, import routines

The most common finding: a business about to commission a five-figure build for something their existing subscription does adequately, once someone spends an afternoon in the settings.

Where licensing changes the design

Some capability sits behind higher tiers or per-run pricing. That shapes what is economic: a flow that runs 50,000 times a month may be cheaper built than configured, and the reverse is true at 500.

We model it at your real volume, including seasonal peaks, before recommending either.

What we still charge for

1. Configuring it properly, if you would rather not — usually a day or two
2. The parts genuinely not available in what you own
3. Integration between tools that do not talk to each other
4. Anything needing real error handling and monitoring

The subscription audit is worth doing anyway

List every subscription, name an owner for each, and cancel anything nobody claims. Most businesses find something they stopped using a year ago.
