The month before gateway
A learner's planned end date is approaching and the coach starts preparing for gateway. That is when the gaps appear. The English result is recorded, but the maths certificate was never uploaded. The portfolio is nearly complete, but two units have no assessor sign-off. The employer has not confirmed they agree the apprentice is ready. The off-the-job total needs checking. The end-point assessment organisation needs dates, and the coach has not asked yet.
Your delivery manager asks for a list of learners due at gateway this quarter and how ready they are. Each coach builds their own answer from memory and the e-portfolio. The lists come back in different formats, some optimistic, some not, and nobody fully trusts the total.
Why readiness is hard to see
Each standard has its own gateway requirements, and the evidence for them is scattered.
- Portfolio completion lives in the e-portfolio.
- English and maths results may be in the MIS, in an awarding body portal, or in an email with a certificate attached.
- Off-the-job totals are in the hours log.
- Employer agreement that the apprentice is ready is often a conversation, not a record.
- Some standards need a project proposal, a showcase or a mandatory qualification first, and those are tracked in someone's head.
Because nothing pulls these together, readiness is judged late and by hand, learner by learner.
What late surprises cost
A learner who reaches their planned end date without their gateway evidence has to have their programme extended or their assessment delayed. The employer is unhappy, the learner loses momentum, and your team spends the final weeks in a rush that could have been spread over months.
It also makes planning with your assessment organisations harder. If you cannot say with confidence how many learners will reach gateway next quarter, you cannot book assessment capacity sensibly or plan assessor workload.

Planning gateway months ahead
Your delivery manager opens one screen and sees, for the next two quarters, every learner due at gateway with a readiness status. Most are on track. A handful are missing a maths result, and the coach is already booking the exam. Two have portfolios well behind and need a conversation about the plan.
