A training day with too few models
Alongside your clinic, you run training courses for practitioners: foundation toxin and filler, advanced techniques, skin treatments. Delegates book through your website or by phone. You need proof of their existing qualifications before some courses. Each course day needs treatment models, recruited through Instagram, who need consultations, forms and deposits too.
The week before a course, you realise two delegates have not sent their prerequisite certificates, and you have four models for six delegates. After the course, certificates are made in a word processor, one by one, and emailed.
Why academy admin gets heavy
A training course has two sets of people to manage, delegates and models, each with their own paperwork, and both need to be in place for the day to work.
- Course places sold online, by phone and through social media.
- Prerequisite qualifications and insurance to check before some courses.
- Models recruited separately, each needing consultation, forms and a deposit.
- Delegate-to-model ratios that must work on the day.
- Certificates produced by hand after each course.
What the admin load costs
| Problem | Effect |
|---|---|
| Missing prerequisites found late | Delegates turned away or allowed on without evidence |
| Too few models | Delegates getting less hands-on time than promised |
| Model no-shows | Gaps on the day with no backup |
| Certificates by hand | Hours after each course, and errors in names or dates |
| No delegate history | Hard to market advanced courses to past delegates |
Your academy's reputation rests on delegates getting what they paid for. Model shortages and admin mistakes are what they remember.
Course admin from booking to certificate
- Course booking online with payment through Stripe, and a place held only when payment or deposit is received.
- Prerequisite uploads: delegates upload qualifications and insurance to their booking; you confirm each one, with reminders for anything missing.
- Model recruitment: a model sign-up page per course day, feeding the same consultation forms, consent and deposit process your clinic uses.
- A course dashboard showing delegates confirmed, prerequisites checked, and models booked against the ratio you need, with a waiting list of backup models.
- Attendance recorded on the day, on a tablet.
- Certificates generated from the record with correct names, course and date, and emailed automatically when you confirm completion.
Whether a delegate meets your course requirements is your decision. The system collects the evidence and shows you what is missing.
A course day that runs itself
A week before, you see every delegate's prerequisites confirmed and enough models booked, with a couple on standby. On the day, attendance takes seconds. Certificates go out that evening without anyone opening a word processor.
You also build a record of every past delegate, which makes it easy to tell them about advanced courses when they are ready.
Models get a better experience too. They receive the same forms, reminders and aftercare as your clinic clients, so they arrive prepared, and a good experience as a model often turns into a regular clinic client later.
Is this your academy?
- Course bookings and prerequisites are tracked in spreadsheets.
- You have run short of treatment models on a course day.
- Certificates are made by hand after each course.
- Prerequisite evidence sometimes arrives late or not at all.
- You have no easy list of past delegates to contact.
