Hundreds of faces in a camera roll
Every consultation and treatment, you take photos: front, left, right, sometimes with a smile, sometimes at rest. They go on your phone because it is in your pocket. Some are uploaded to the client's record later, some are not. Your camera roll holds hundreds of clients' faces, mixed in with family photos, backed up to a personal cloud account.
When a client comes back for a review and says the result is not what they expected, you need the before photos. You scroll back through months of pictures trying to find the right face, the right day, taken in the same light.
Why photos stay on phones
The phone is the best camera in the room, and your clinic software's upload step is fiddly. So the photo gets taken now and filed later, and later often does not come.
- Clinic software that makes you take the photo on the phone, then upload through a browser.
- No standard for angles, distance or lighting, so photos are hard to compare.
- Photos consent is on paper, separate from the images.
- Staff using their own phones, which leave the clinic with them.
- Automatic backup sending clinic photos to personal cloud accounts.
The risk you are carrying
| Situation | Why it matters |
|---|---|
| Phone lost or stolen | Identifiable facial images of clients on an unmanaged device |
| Staff member leaves | Clinic photos leave with their phone |
| Photos in personal cloud backup | Client images stored outside the clinic's control |
| Inconsistent angles | Before and after cannot be compared fairly at review |
| Consent unclear | A photo used on social media without clear written consent |
Facial photos are among the most sensitive things an aesthetics clinic holds. How you must handle them is for your own policy and adviser to set; the practical side is getting them off personal devices and into the record.
The review appointment is where this bites. A client who is unhappy with a result deserves a fair comparison, and so do you. Two photos taken in different light from different angles do not give either of you that.
Photo capture straight into the record
- A clinic-owned tablet or phone, managed so photos cannot be saved to the camera roll or backed up to a personal account.
- Capture from within the client's record, so every photo is filed to the right client and treatment date the moment it is taken. Many clinic systems, including Pabau, offer a mobile app for this, and we set it up if yours does.
- Guide overlays for standard angles, so before and after photos line up at review.
- Photo consent captured digitally at the same time, with separate choices for the clinical record, internal training and marketing.
- Marketing use checked against that consent automatically, so only photos with marketing consent can be exported for social media.
- An access log showing who viewed or exported each photo.
If your current system has no mobile capture, we build a small capture app that files photos into it through its API, or into a secure store linked to the client.
What changes in the treatment room
Photos are taken on the clinic device, filed instantly, and never touch a personal phone. At review, the before and after appear side by side, taken from the same angles. When you want a photo for Instagram, you can only pick from those the client agreed to.
When a staff member leaves, nothing leaves with them.
Does this sound like your clinic?
- Before and after photos are taken on personal phones.
- Clinic photos are backed up to personal cloud accounts.
- Finding a client's before photos means scrolling a camera roll.
- Photo consent is on paper and not linked to the images.
- Before and after photos are hard to compare because angles vary.
