The routine
- Read the unanswered questions from the last month
- Fix the top five by writing or updating content
- Recrawl and check those questions now answer correctly
- Check the four metrics against last month
- Verify anything that changed — prices, hours, policies
Thirty minutes. The fifth step is the one that prevents the embarrassing failure, and it is the one everybody skips.
Trigger a check on change
- A price change — update the document and recrawl the same day
- A new service or product — make sure it is on a page
- Changed opening hours or lead times
- A discontinued line, so it stops being recommended
Read some conversations
Ten at random, plus every one that ended without an answer. The numbers tell you where to look; the transcripts tell you what happened.
It is also the quickest way to notice a tone problem or an unhelpful pattern that no metric would show.
Give it an owner
One named person, half an hour a month, in the calendar. Unowned chatbots decay, and the decay is invisible until it is embarrassing.
It does not need to be technical. It needs to be someone who knows what is currently true about your business.
