Quick answer — TL;DR

When a couple postpones, the wedding moves to a new date, sometimes a new year and a different price band. Payments made, menu choices, supplier details and agreed extras all need to move with it, and any date change terms need applying. We build a date move process that carries every part of the wedding to the new date, applies your terms, updates the diary and tells the couple exactly what has changed.

We need to move to next year

A couple calls to say they need to postpone. Their wedding was next June and they would like a date the following spring. The coordinator checks the diary, finds a free Saturday, and agrees it in principle. Then the questions start. Is the spring date priced differently? Does the deposit transfer? What happens to the menu they chose, the payment plan, the rooms held for guests, the supplier list?

The office moves the booking in the diary, updates the spreadsheet of payments, and forgets the guest rooms. Months later, the old date is still blocked in the reservations system.

A wedding is many linked records

A booked wedding is not one entry. It is a diary booking, a payment plan, planning choices, rooms, supplier details and sometimes a registrar booking the couple made. Moving the date means moving all of them consistently, and each lives somewhere different.

  • The diary moves, but the payment plan dates do not.
  • Held guest rooms stay on the old date.
  • Price differences between years or seasons are handled case by case.
  • Suppliers the couple told you about need new arrival details.
  • Your date change terms are applied from memory.

Loose ends that surface later

Missed parts of a date move surface at the worst time: rooms blocked on a date you could have sold, payment reminders sent for the wrong date, the kitchen planning for a wedding that is no longer happening. Couples going through a postponement are often stressed already, and inconsistency makes it worse. Staff lose hours unpicking each case.

We do not advise on your date change terms or their fairness. Your terms and your adviser decide. We apply them consistently.

How we build a wedding date move process

  1. The coordinator starts a date move from the wedding record and chooses the new date from free dates in the diary.
  2. The price for the new date is looked up from your pricing table, and any difference and your date change terms are shown before anything is confirmed.
  3. A summary of changes is prepared for the couple: new date, price difference, payment plan adjustments and anything that cannot move, such as a date-specific offer.
  4. Once the couple confirms, everything moves together: diary, payment plan, planning choices, held guest rooms, supplier list and the running order draft.
  5. The old date is released in the diary and the reservations system, and becomes available to sell.
  6. Suppliers on the couple's list can be sent the new date and asked to confirm, and anything outstanding is listed for the coordinator.
Part of the weddingWhat happens on a date move
Diary bookingMoves to the new date, old date released
Payment planRe-dated, with any price difference applied under your terms
Guest roomsHeld on the new date, old hold released
Menu and choicesCarried across, flagged if the menu changes by year
SuppliersAsked to confirm the new date

After the move

The couple receives a clear summary of the new date and what it means. Staff have one place to see that everything has moved. The old date is back on sale straight away. If the couple later asks how their payments were carried over, the answer is in the record.

Signs you need this

  • Postponements are handled by editing several systems by hand.
  • Held rooms or diary entries have stayed on the old date.
  • Payment reminders have gone out with the wrong dates.
  • Price differences for new dates are handled inconsistently.
  • Couples are unsure what carried over and what did not.

FAQ

Frequently asked questions

The questions readers ask us after this guide.

Ask about your project

Do you decide what couples pay when they move?

No. Your date change terms and pricing decide. We apply them and show the result for your team to confirm.

Can it handle several postponements at once?

Yes. Each date move is its own process, and a list shows which are in progress.

Does it talk to our hotel system?

Where your property management system allows it, room holds move automatically. Otherwise, reservations get a list of changes.

What drives the cost?

How many systems a wedding touches at your venue and how they share data.

What do you need from us?

Your date change terms, pricing, and a walk through how a postponement is handled today.
