Five past six, where is the link?
The lesson is at six. At five past, the parent emails the office: the link does not work. The tutor had sent a Zoom link a month ago for regular lessons, then switched to Google Meet last week and sent the new link by text to the student's own phone. The student is on the family laptop looking for the old one.
The office cannot help, because they do not know which link the tutor uses. By the time it is sorted, a quarter of the lesson is gone, and the parent wonders what they are paying for.
Why online lessons have link problems
- Each tutor uses their own video tool and account.
- Links are sent by text, email or chat, and not stored anywhere central.
- Tutors change links or tools without telling the agency or the family.
- The office has no record of what link any lesson uses.
- Recordings, where your policy uses them, are kept on tutors' own accounts.
Whether lessons are recorded, who can access recordings and how long they are kept are decisions for your own policy. We build the storage and access around what you decide, and nothing about recording is switched on without it.
What link chaos costs
Lost lesson time, which parents notice and remember. Office time spent tracing links. Lessons billed that parents feel were shortened. If recordings matter to your policy, having them scattered across tutors' personal accounts means the agency cannot find one when it needs to. And when a tutor leaves, the family's lesson link leaves with them.
The lesson links we build
- Every online lesson in the schedule gets a video link created automatically, using Zoom, Google Meet or Microsoft Teams on the agency's account.
- Regular lessons keep the same link week after week, so families can bookmark it.
- The link goes in every lesson reminder to the student and parent, and appears in the tutor's schedule.
- If a lesson moves, the link moves with it. If a tutor changes, the family keeps the link.
- Where your policy uses recordings, they are saved to the agency's storage against the lesson, with access limited to the people your policy names, and deleted on your schedule.
- The office can see the link for any lesson, and whether the tutor and student joined, which helps with any question about lesson time.
| Problem | Before | After |
|---|---|---|
| Which link? | Whatever the tutor sent last | One link per lesson, in the reminder |
| Tutor changes tool | Family not told | Not possible, links are the agency's |
| Tutor leaves | Link goes with them | Link stays with the lesson |
| Recording needed | On tutor's account, if anywhere | Agency storage, as your policy sets |
Six o'clock, afterwards
At quarter to six, the student gets a reminder with the same link as every week. The tutor clicks the same link in their schedule. The lesson starts on time. If there is a question later about how long the lesson ran, the office can see when each joined.
When the tutor goes on maternity leave and a new tutor takes over, the family's link and reminder do not change. Nothing needs explaining.
For the owner, the lessons themselves become visible for the first time: which online lessons ran, which started late and which never happened, without asking tutors to report it.
Tutors usually adjust quickly, because it is less work for them. They no longer need to create or resend links, and when a student says they cannot find the lesson, the answer is always the same: it is in the reminder, and it is the same link as last week.
Are link problems costing you lessons?
- Tutors send their own video links.
- Lessons start late because of link confusion.
- The office cannot tell which link a lesson uses.
- Recordings, if you use them, are on tutors' accounts.
- Families lose their link when a tutor changes.
