A kit bag full of forms
At the start of each season, every junior player needs a registration form: child's details, parent contacts, emergency contact, medical information the parent wants the club to know, photo and video consent, and agreement to the club's code of conduct. Your club does this on paper. Coaches hand out forms at training, parents fill them in on the car bonnet, and the forms come back over several weeks, some in a kit bag, some photographed and sent by WhatsApp, some never.
Then a photographer from the local paper comes to a tournament. Who can be photographed? The welfare officer has to find the consent forms for twelve teams. And in October, a coach asks whether a new player has any medical condition he should know about, and nobody can find the form.
Why paper keeps failing

What it costs to get this wrong
Photos published of children whose parents did not consent, which is distressing for a family and embarrassing for the club. Coaches without information they need. Registrations incomplete when the league needs them. Personal and medical data held in ways your own data protection policy would not allow. And weeks of the welfare officer's and coaches' time every autumn, spent collecting paper.
Mid-season changes are the part most clubs forget. A child is diagnosed with an allergy in November, a parent separates and the emergency contact changes, a family decides in January that they no longer want photos online. On paper, those changes depend on a parent remembering to tell a coach, and the coach remembering to tell the welfare officer, and someone finding the right form to amend. Most of the time, none of that happens.

The start of the next season
Parents get a link, check last year's details, update a phone number, and confirm consents. The welfare officer sees registration completing team by team, and chases the handful who have not. When the photographer arrives, the photo consent list is ready. No forms are left in kit bags, and the club knows what it holds and who can see it.
