A certificate in a drawer
Trainees in your social enterprise work towards short, practical qualifications as part of their programme: food hygiene certificates for the café, a construction site card for the building team, forklift or warehouse qualifications for the reuse depot, first aid, health and safety awareness, or maths and English functional skills through a local college.
The training coordinator books courses with several providers. Some trainees attend and pass. Some miss the assessment and need rebooking. Certificates arrive by email, by post, or on the provider's own portal. When a trainee applies for a job and needs a copy of their certificate, the coordinator searches her inbox. When a funder asks how many qualifications were achieved last year, she counts by hand and hopes she has everything. A certificate found in a drawer six months late belongs to a trainee who has already left.

Some qualifications also expire or need renewing, such as some site cards and first aid certificates. Former trainees often need copies long after they have left.

What scattered records cost
Trainees lose out. A certificate that cannot be found when an employer asks for it can delay a job start. A missed assessment that nobody rebooks means a trainee leaves without the qualification they worked for.
Funding can be affected. Qualifications achieved often feature in funder and contract reporting, and uncounted certificates are achievements the organisation cannot show.
Money goes on courses booked but not attended, or booked twice because two staff did not know the other had done it.
Timing matters as well. A trainee who is nearly ready for a warehouse placement but still waiting for an assessment date can lose the placement to someone else. When nobody can see which qualifications are booked, pending or overdue, the gap only shows up when an employer asks.
A qualifications record from enrolment to certificate
What we build is a record that follows each qualification through its stages.
- The qualifications you offer are listed with their providers, typical course dates, costs and any expiry period.
- When a job coach agrees a qualification with a trainee, it is added to the trainee's record as planned.
- The coordinator books it with the provider and records the date. The trainee gets a reminder in the format that suits them, and so does their supervisor, so the rota can release them.
- After the course, attendance and result are recorded, and missed or failed assessments go onto a rebooking list.
- Certificates are saved against the trainee as soon as they arrive, whether forwarded from email or photographed from post, and the trainee can be given a copy or a secure link to their certificates.
- Expiry dates trigger reminders, including to former trainees who agreed to hear from you.
- Reports show qualifications planned, booked, achieved and outstanding, by programme and period, for funders and your board.
If your training providers send results in a standard format, we import them rather than retyping.
After a year
When a former trainee rings asking for a copy of his food hygiene certificate for a new job, the coordinator finds it in seconds and emails it. When the funder asks how many qualifications were achieved this year, the report is ready, broken down by type.
The rebooking list shows two trainees who missed their first aid assessment. Both are rebooked for next month, and their supervisors know the dates.
