Renewal season in the membership team
The membership year starts in January. In November, the membership team exports a list from the database, works out each member's fee by grade, and sends renewal invoices. Some members pay by direct debit and should renew automatically, unless their grade changed. Some pay by card on the website. Many have their subscription paid by their employer, which needs a separate invoice addressed to accounts payable, often with a purchase order number the member has to go and find.
By March, a good number of members have still not paid. The team sends reminder emails in batches, answers questions about fees, and matches bank transfers that arrive with references like SUBS 2026. Employer payments cover several members without saying which. Some members have paid, but the database still says lapsed.
Why renewals take so long
The renewal process has grown from a simple annual invoice into something with many variations, run from spreadsheets.
- Fees depend on grade, and grades change during the year.
- Members pay by direct debit, card, bank transfer or through their employer.
- Employer invoices need purchase order numbers and billing contacts the member may not know.
- Reminders are sent manually, in batches, with no personal timing.
- Bank transfers and employer payments are matched to members by hand.
- Reduced rates for retired or unwaged members are handled case by case.
The main issue is that the rules live in the heads of the membership team, not in the system.
What slow renewals cost the body
Subscription income arrives late, which makes cash flow harder and budgets less certain. Members who meant to renew but lost the email end up lapsed, losing access to benefits and sometimes to their professional listing, which frustrates them and generates calls.
The membership team spends the first quarter of every year on chasing and matching, when it could be recruiting or improving what members get.
How we build the renewal cycle
- Grade and fee rules, including reduced rates and pro-rating, are set up in one place, with your membership team able to change them.
- Ahead of renewal, each member receives the right request: confirmation for direct debit payers, a card payment link through Stripe or your processor, or an invoice.
- Members whose employer pays can enter the billing contact and purchase order in a short form, and the invoice goes straight to the employer, with the member copied.
- Employer invoices can cover several members, and payments are allocated to each named member.
- Reminders follow your schedule and stop as soon as a member pays or tells you they are leaving.
- Payments from Stripe, GoCardless and bank feeds are matched to members, with anything uncertain held for a person.
- Membership status updates automatically on payment, including access to member-only areas and directory listings.

Renewal season afterwards
Renewal requests go out on time, each one right for the member. Employer invoices arrive with purchase order numbers already on them. Reminders go out without anyone assembling lists. By the time the new membership year starts, the team is dealing with genuine questions and the members who are thinking of leaving, rather than matching transfers.
The finance team sees subscription income and outstanding renewals by grade at any point.
