Monday here, Wednesday there, Saturday somewhere else
You rent a room in a multi-disciplinary clinic two days a week, work as an associate in a chiropractic practice on Wednesdays, and see a few patients from home or a sports club on Saturdays. Each place has its own booking system. One uses Cliniko, one uses Jane, one is a paper diary at the front desk. Your personal calendar is the only place that shows the whole week, and you update it by hand.
Then a Wednesday clinic receptionist books a patient into a slot you had agreed to swap to Thursday, because nobody told their system. Or you add an extra evening at one clinic and forget to block it in your own calendar, and a patient books you for a home visit at the same time.
Why it keeps going wrong
Each clinic's system is correct on its own terms. None of them knows about the others, and they should not, because they belong to different businesses with their own patient data. So the only integration point is you, copying times between screens on your phone between patients.
Changes are the danger. A fixed weekly pattern is manageable. Holidays, swapped days, extra sessions and cancelled clinics are where double bookings and empty rooms come from.
What the juggling costs you
| Problem | Effect on you | Effect on patients |
|---|---|---|
| Double booking | Awkward calls to rearrange | Appointment moved at short notice |
| Leave blocked in one system only | Bookings on days you are away | Cancellation after they planned around it |
| Extra sessions not visible | Rooms paid for and empty | Fewer available slots than you actually have |
| Admin on your phone at night | Lost evenings | None, until something slips |
What we build for multi-clinic practitioners
- We connect to each clinic's system in the way that clinic allows: a calendar feed many booking systems can publish, an API with the clinic's agreement, or, for a paper diary, a shared calendar that the clinic's reception updates.
- Your bookings from every clinic appear in one private calendar, showing only times and location, not patient details.
- When you are booked in one place, the same time is blocked in the others, with enough travel time added between locations.
- Leave and one-off changes are entered once, in your own calendar, and pushed as blocks to every clinic.
- A weekly summary shows your hours by clinic and any clashes that need a person to resolve.
- Clinics keep full control of their own diaries. Only busy blocks move between systems.
We keep patient information inside each clinic's system, where it belongs. The sync only shares when you are busy, never who with. Where a clinic's system does not allow writing blocks automatically, the tool tells you exactly what to block manually and checks later that it was done.
A calmer week
Travel is the detail that personal calendars usually miss. If you finish in one town at one o'clock and start in another at two, the sync knows the journey between those two addresses and will not let a clinic book you at ten past one. You set the travel allowances once, per pair of locations, and adjust them if the roads say otherwise.
You stop copying times between apps. A holiday is entered once and respected everywhere. Clinics see accurate availability, which means more of your offered time gets booked. Clashes, when they happen, are spotted when they are created, not when two patients arrive at once.
It also makes adding or dropping a clinic simpler. The new location is one more connection, not another app to check each evening.
This might be you if
- You work in two or more clinics with different booking systems.
- Your personal calendar is updated by hand from each clinic's diary.
- You have been double booked because of a swapped day or extra session.
- Leave has to be entered in several places, and sometimes one is missed.
- You check several apps every evening to see tomorrow.
