A crumpled sheet at eight in the morning
Your nurse finishes a night shift at eight. She needs the nurse in charge to sign her timesheet, but the nurse in charge is in handover. Eventually someone signs it, perhaps a healthcare assistant, perhaps with the break left blank. She photographs the sheet in the car park and sends it to your office on WhatsApp.
Your office retypes the times into your system. Two weeks later the trust queries the invoice: the signatory is not on their authorised list, and the break has been recorded differently from the ward's own roster. The nurse has already been paid.
Why ward timesheets cause so much trouble
Existing timesheet tools are built for office contractors whose manager approves hours on a laptop. A ward is different: the approver is a busy clinician, the signature has to come from someone the trust authorises, and the times need to match the trust's own records.
- Paper timesheets are signed in a rush, sometimes by the wrong person.
- Breaks are left blank or filled in differently from the ward's roster.
- Photos are unreadable or arrive days late.
- Office staff retype every sheet, which adds errors.
- Trusts check signatories against their own lists, and your office cannot.
What disputed timesheets cost
Invoices are rejected or short-paid. Nurses are paid for hours the trust will not accept, or wait while a query is resolved. Office staff spend days a month on disputes. And a pattern of disputed timesheets makes a trust less likely to use you when they have a choice.
Nurses feel it as well. A nurse who finishes a twelve-hour night does not want to wait around for a signature, chase a photo that did not send, or be told a week later that her hours are in dispute. Agencies that make timesheets painless are easier to work for.

How we build ward timesheets
- Each booking creates a timesheet in the nurse's app, pre-filled with the client, ward and booked times.
- At the end of the shift the nurse enters actual times and break, as the client's rules require.
- Sign-off is by an authorised signatory for that ward, chosen from a list the trust provides, who confirms on the nurse's phone with a PIN or on their own device from a link, as the trust prefers.
- Differences between actual and booked times, or breaks that do not match the client's rules, are flagged for your office before payroll.
- Signed timesheets flow to pay and invoicing without retyping, and each invoice carries the signed timesheet as evidence.
- Where a trust wants timesheets on its own portal, the approved timesheet data is prepared for upload or sent through the portal's integration if it offers one.
How signatures are captured, and who counts as authorised, is agreed with each client. We build the sign-off to their requirements.
After paper
Timesheets arrive signed by the right person, with breaks recorded, at the end of the shift. Your office checks exceptions rather than retyping everything. Invoices go out with evidence attached, so disputes are fewer and quicker to settle. And nurses are paid on hours that the trust has already agreed to.
Your office can also see, for each ward, how often timesheets need correcting and why. That points to the wards where breaks are recorded differently or where signatories change often, which is worth raising with the trust's staffing office before it turns into a dispute.
