How Do I Find Cover Fast When Nursery Staff Call In Sick at Six in the Morning?

Nursery managers spend early mornings texting staff for cover when someone is off sick. We build a cover request that shows the gap and asks the right people.

Quick answer — TL;DR

When a nursery practitioner rings in sick early in the morning, the manager has to work out which room and hours are affected and then text around for cover, often from home. We build a cover request that shows the exact gap against today's bookings, offers the shift to the staff and bank workers who can fill it, and confirms the first to accept.

Six fifteen, the phone buzzes

The manager's phone buzzes at a quarter past six. One of the toddler room team has been up all night with a stomach bug. The nursery opens at half seven. The manager, still at home, opens the rota spreadsheet on her phone, tries to remember how many toddlers are booked today, and starts texting. Part-timers who are not in today. A bank worker who covered last month. The deputy, to see whether someone can move rooms.

Replies trickle in. One can do the afternoon only. One does not reply. By seven, the manager has moved a member of staff from pre-school to toddlers for the morning, which leaves pre-school tight at lunch, and she has agreed to go in herself early to cover breaks.

Why cover is found by text message

  • The manager needs today's bookings and today's rota to see the real gap, and neither is easy to open on a phone at six.
  • Who can cover depends on their hours, the rooms they know, and your own rules about who can work where.
  • Texting people one at a time is slow, and group messages lead to two people saying yes.
  • Bank and agency staff are contacted by a different route from permanent staff.
  • Nothing records who was asked, who accepted and what the extra hours were, so they are missed in payroll.

Who can work in which room is set by your own staffing rules and the requirements that apply to you. The system does not decide that. It uses the rules you have entered.

What the morning scramble costs

Manager time before the working day starts, every time someone is ill. Rooms run tight while cover is found, and staff are moved away from their key children. Extra hours worked at short notice are sometimes not recorded, which causes payroll disputes later. Relying on the same willing people to say yes wears them out.

When the manager is herself away, the deputy has to do all of this without the knowledge of who usually helps.

The cover system we build

  1. Staff report sickness through one route, such as an app or a text to a nursery number, which records the time and the shift affected.
  2. The system shows the gap: which room, which hours, and how today's bookings and the rest of the rota change the picture.
  3. It lists who could cover, using each person's contracted and available hours, the rooms they work in and your staffing rules.
  4. The manager sends the shift to that list in one tap. The first suitable person to accept gets it, and everyone else is told it is filled.
  5. If nobody accepts by a time you set, the request goes to bank or agency contacts you have listed.
  6. The rota is updated, and the extra hours are recorded for payroll with the reason.

The next early call

At six fifteen the sickness is logged. The manager's phone shows the toddler room is short from open until two, and that four people could cover. She sends the request. At six thirty a part-timer accepts the morning; at six forty a bank worker takes the afternoon. The rota updates. The manager gets ready for work.

At the end of the month, the extra hours are on the payroll list with dates and reasons, and the manager can see who has been covering most often.

Over a term, the sickness log also shows patterns across rooms and days, which helps when planning how much bank cover to keep available. That is information you already had, scattered across text messages, now in one place.

Is this your morning?

  • Cover is found by texting staff from home.
  • Working out the gap means opening several spreadsheets.
  • Two people sometimes accept the same shift.
  • Extra hours are missed in payroll.
  • The same few people always end up covering.

FAQ

Frequently asked questions

The questions readers ask us after this guide.

Still have a question?

Ask us directly — a senior engineer will get back to you.

Ask about your project

Does this decide who is allowed to cover a room?

No. Your staffing rules, set by you, decide who is eligible. The system only offers the shift to people who meet them.

Can bank staff use it?

Yes. Bank workers can be on the list, with the rooms and hours they can do.

What if nobody responds?

It moves to the next group you choose, such as agency contacts, and tells the manager.

Does it link to our payroll?

Extra hours can be exported to your payroll provider or HR tool in the format it needs.

What affects the cost?

Where the rota lives now, how staff are contacted and whether it links to bookings and payroll.
