Who still needs entering for June?
Your exam preparation classes feed students into external exams. Some students booked the exam through you as part of their package, some want to book it themselves, and some are still deciding. The exam officer keeps a spreadsheet of who is entered for which session, copies details from passports, collects fees and watches the entry deadlines of the exam centre you use.
A week after the deadline, a student asks when her exam is. She was never entered, because her fee was paid to reception and nobody told the exam officer.
Why exam entries slip
- Students on the same course take different exams on different dates.
- Some entries are included in the course price, some are paid separately.
- The details on the entry must match the student's ID exactly.
- Deadlines are set by the exam centre, and differ by session.
- Results arrive weeks after the student has left, and nobody links them back.
The spreadsheet is the only place all of this meets, and it depends on people telling the exam officer things.
What a missed entry costs
A student who travelled to take an exam and was not entered has lost the main reason for their course. That becomes a complaint, a refund discussion and an agent who stops sending exam students. Wrong details on an entry cause problems on exam day. Results that are not linked back mean you cannot show how exam classes perform, which is exactly what agents ask.

Exam season, organised
The exam officer works from a list that shows exactly who is ready and who is not, with deadlines at the top. Reception payments reach the list the moment they are taken. Students know their exam date without asking. When results come in, the director of studies can see them by class and teacher, and agents get a clear answer when they ask.
Late changes stop being dangerous too. A student who decides in week three to take the exam after all is added to the list with the deadline shown in red, and the exam officer can see at once whether there is still time. A student whose passport was renewed updates their details through the same form, and the change is visible before the entry goes in rather than on the morning of the exam.
