Quick answer — TL;DR

Launch campaigns depend on many creators posting in a set window, after an embargo lifts and alongside the client's paid media, and the schedule is coordinated by message, so posts go up early, late or all at once. We build a posting schedule per campaign with each creator's slot, reminders and confirmations, an embargo warning, and live checks that show who has posted.

Launch day, and one creator posted yesterday

A beauty brand launches a new product at nine on a Thursday. The client wants creators to post in waves: a few big names in the first hour, then the rest across the following days, alongside their paid social and a press release. Nothing may go up before nine on Thursday, because the press have the product under embargo too.

The schedule is a spreadsheet. Creators are told their dates by DM and email. One creator, working in a different time zone, posts on Wednesday evening local time, which is before the embargo in the UK. Two creators post in the same hour as each other when they were meant to be a day apart. One forgets entirely and posts on Monday. The client's paid team boosted a post that was not yet up.

Why posting schedules come apart

The plan is simple. Keeping twenty independent people to it, across time zones and busy diaries, is not.

  • Posting dates are sent once, by message, and not confirmed back.
  • Time zones are not stated, or stated only in the agency's time.
  • Content approval runs late for some creators, and their slot is not moved formally.
  • Nobody checks who has actually posted until someone scrolls through feeds.
  • The client's paid team works from their own version of the schedule.

What a broken schedule costs

An early post can break an embargo the client agreed with press or retailers, which is a serious matter for them and awkward for you. Posts that bunch together waste the reach the client planned to spread over days. A late post misses the paid media plan it was meant to support, so ad spend runs against nothing. And the account manager spends launch day checking feeds and messaging creators, rather than reporting early results to a nervous client.

Creators are affected too. A creator who posted on time and sees a colleague post early can feel the campaign was badly run, and says so to their manager.

A posting schedule with confirmations

  1. The campaign schedule sets each creator's posting slot as a date and time with a time zone, shown to the creator in their own local time.
  2. The embargo is set once; any slot before it is blocked, and every creator's brief page shows it prominently.
  3. Creators confirm their slot through their campaign link, and unconfirmed slots appear on the account manager's list.
  4. If approval of a creator's content runs late, the slot is formally moved and the creator confirms the new one.
  5. Reminders go to each creator ahead of their slot, with the approved file and caption linked, so they post the right version.
  6. When the slot passes, the creator submits their post link, and a check confirms the post is live and matches the approved caption.
  7. The client's paid team sees the same schedule, with live status, so they boost only posts that are up.

Timings and embargo terms come from your client. The schedule enforces the dates you enter; it does not interpret the embargo agreement.

Launch week, watched from one screen

At nine on Thursday the embargo lifts and the first wave of creators posts. The schedule turns green as links come in and checks pass. One creator has not posted fifteen minutes after their slot; the account manager messages them and they post shortly after. The paid team boosts each post as it goes live. By the afternoon, the account manager is sending the client early numbers rather than chasing.

The creator in the other time zone saw their slot in local time with the embargo clearly shown, and posted in the right window.

Does your launch day look like this?

  • Posting dates are sent by message and not confirmed.
  • A creator has posted before an embargo.
  • Time zones cause posts at the wrong time.
  • You check who has posted by scrolling feeds.
  • The client's paid team works from a different schedule.

Ask about your project

Can creators schedule posts through your system?

Not usually, as posting happens in the platforms. Creators can use the platforms' own scheduling tools, and our system tracks the slot and confirms the post went live.

How do you know a post is live?

The creator submits the link, and the check loads the public post. Some platforms also allow connected accounts to report posts, where the creator agrees.

Does it handle stories, which do not have lasting links?

Creators upload screenshots of each frame when they post, which are stored with a time.

Can the client see the schedule?

Yes, through a view you share, with the level of detail you choose.
