Some call every week: how is August looking, why is there a gap in June, who is arriving this weekend, can I have the first week of October for my family? Your owner relations team answers each call by opening the booking system and reading out what it says.
When an owner wants a week for themselves, the request goes by email, someone checks availability, blocks it, and hopes nothing was booked in the meantime.
Why owners keep calling
Owners call because they cannot see their bookings for themselves. Many property management systems include an owner area, but it is often too basic, hard to explain to owners, or not set up because of worries about what owners might see.
Owner stay requests are handled outside the system because the rules, such as how many peak weeks an owner may use and how far ahead, are in the owner's agreement rather than in the software.

- Income view: confirmed income for the months ahead and a running total for the year, consistent with how statements are calculated.
- Owner stay requests: owners request dates through the portal. The request is checked against availability and the rules in their agreement, such as peak weeks allowed, and then approved by your team or automatically, and blocked across all channels.
- Statements and documents: past statements, invoices and property documents are available to download.
- Messages: owners can send questions through the portal, which reach your owner relations team with the property already identified.

When the calendar is quiet, owners can see it as early as you can, which sounds risky but usually helps. The conversation about a gap in June happens in April, when there is still time to adjust a minimum stay or run an offer, rather than in late May when the owner has already decided the agency is not trying.
