How Can Our Hearing Clinic Keep Track of Every Hearing Aid Out for Repair?

Hearing aid repairs vanish between clinic, courier and manufacturer. We build a repairs tracker with warranty checks, loaner records and patient updates.

Quick answer — TL;DR

Repairs get lost because each one passes through several hands, the warranty status is checked from memory, and the patient's only way to find out is to phone. We build a repairs tracker: log the aid in, check warranty from the fitting date, record any loaner issued, track the parcel to the manufacturer and back, and text the patient when it is ready to collect.

Where is Mrs Patel's hearing aid?

The phone rings. A patient wants to know if her right aid is back from repair. The receptionist checks the repairs book, then the shelf, then asks the dispenser, who thinks it went out on the Tuesday courier. Nobody is sure whether it went under warranty or whether she was quoted for an out-of-warranty repair. She is still wearing the loaner, but nobody wrote down which one.

A busy hearing clinic has several aids out for repair at any time, going to different manufacturers, some under warranty, some chargeable, some with a loaner out and some without. It works while the numbers are small and the same person handles all of them.

Why repairs go missing

  • Repairs are logged in a paper book or a spreadsheet separate from the patient record.
  • Warranty status depends on the fitting date and the manufacturer's terms, which someone checks by looking back through notes.
  • Loaner aids are handed out without a record of which loaner went to whom.
  • Courier collections and returns are not tied back to individual repairs.
  • The manufacturer's repair report arrives by email and is not attached to the patient file.
  • Patients have no way to see progress, so they phone.

Each step is small. The problem is that no single record follows the aid from the moment it is handed in to the moment it goes back on the patient's ear.

What it is costing the clinic

Phone calls asking for updates take reception time. Out-of-warranty repairs that are sent without the patient agreeing to a charge lead to awkward conversations or absorbed costs. Loaners that are not returned slowly deplete your loaner stock. And a patient without their aid for longer than expected loses confidence in the clinic, even though the delay was at the manufacturer.

The repairs tracker we build

  1. The aid is logged in at the desk or during an appointment: patient, serial number, fault reported, and whether it was handed in, posted or collected on a home visit.
  2. Warranty status is worked out from the fitting date and your supplier terms, and shown clearly. If it is out of warranty, the tracker prompts the team to get the patient's agreement to any charge before it is sent.
  3. If a loaner is issued, its serial number is recorded against the repair and the patient, so it comes back when the repair does.
  4. Repairs going out are grouped by manufacturer for the courier, with the paperwork pre-filled and the tracking reference stored.
  5. When the manufacturer's repair report or invoice arrives by email, it is read and attached to the repair, with any charge flagged for checking.
  6. When the aid comes back, the patient gets a text or letter in their preferred way, and a collection or refit appointment is offered.
  7. An open repairs list shows everything out, how long each has been away, and anything overdue for a chase.

The tracker links to your practice management system where it allows, so the repair history sits with the patient record rather than in a separate book.

A calmer front desk

When a patient rings, the receptionist types their name and sees exactly where the aid is. Most calls are not needed at all, because the patient is told when it is back. Loaners come home. Charges are agreed before the aid leaves the building, and manufacturer invoices are checked against what was agreed.

Is this happening at your clinic?

  • Repairs are recorded in a book or a spreadsheet nobody else can find.
  • Warranty is checked by looking back through notes.
  • You are not sure how many loaner aids you have or where they are.
  • Patients phone to ask about repairs several times a week.
  • Repair invoices from manufacturers are paid without being matched to a repair.

FAQ

Frequently asked questions

The questions readers ask us after this guide.

Ask about your project

Can it tell whether a repair is under warranty?

It calculates it from the fitting date and the terms you enter per manufacturer, and shows its working. A person makes the final call on anything unusual.

Does it work for repairs we do in the clinic?

Yes. In-house repairs such as tube and dome changes can be logged in the same place, so the aid's history is complete.

What about home visit patients?

Aids collected on a home visit are logged from a phone or tablet, and the return can be tied to the next visit.

Do we need a new practice management system?

No. The tracker works alongside what you have and connects to it where it can.

What affects the cost?

How many manufacturers you deal with, whether repair reports arrive in a readable format, and how closely you want it tied to your existing systems.
