Monday's messages
Over the weekend, a member emailed about a double charge. Another sent an Instagram message asking to freeze. Someone messaged the gym WhatsApp about a lost jacket. A prospective member asked about prices through the website form. A member left a complaint about the showers with the Sunday desk staff, who wrote it on a note.
On Monday, the manager checks email. The social media person, who works part time, checks Instagram on Wednesday. WhatsApp is on the desk phone, checked by whoever is on shift. The note is on the desk. The member with the double charge emails again on Tuesday, more annoyed.
Every channel is its own inbox
Members use whatever channel is easiest for them, and gyms have added channels over time: email, social media, WhatsApp, a website form and the desk.
- Each channel is checked by different people at different times.
- Nobody can see all open messages in one place.
- Replying means looking up the member in another system first.
- Billing and freeze requests arrive as messages but need a separate process.
- Some messages get two different answers, and some get none.
Slow replies, repeated questions
Members who wait days for a reply about a payment problem become angry members, and some post publicly about it. Prospective members who ask about prices and hear nothing join somewhere else.
Staff time goes on switching between apps, looking up member details and working out whether someone else has already replied. The same questions, about opening hours, prices and freezes, are answered from scratch many times a week.
Requests made by message also escape your processes. A freeze agreed in an Instagram reply is not a freeze in your billing system. A cancellation sent by WhatsApp to the desk phone may never reach the person who stops the direct debit, and the member is charged again the next month, which turns a simple request into a dispute.
Nobody owns the whole picture, either. When a member complains that they have 'told you three times', it may be true: once by email, once by message and once at the desk, each to a different person.
One shared inbox with the member alongside

- Each message shows the member's record from your gym management system: plan, payment status, recent visits and previous messages.
- Messages are tagged by type automatically, such as billing, freeze, cancellation, class or general, with AI help that staff can correct.
- Freeze and cancellation requests are routed into their proper forms and processes, so they are handled by your rules, not by a reply.
- Common questions get suggested replies from your own answers, which staff check before sending.
- Each message is assigned to someone, and anything unanswered after your target time is highlighted.
- Desk staff log in-person complaints and requests in the same inbox, so nothing lives on paper.

AI suggestions are drafts. Staff decide what is sent, and billing or account changes always follow your normal process.
Every message answered, once
Staff see all open messages in one place and know who is handling each. Members get replies faster, from someone who can see their account. Billing and freeze requests go through the right process, with the right record.
The manager can see which questions come up most and which channels members prefer, which often points to something worth fixing, like unclear information about freezes on your website.
Part-time and weekend staff can pick up where others left off, because every conversation and its history is in the same place rather than on one person's phone.
