A dead shrub at the customer service desk
A customer brings back a brown, leafless shrub in a carrier bag. She bought it last spring, she thinks, and your centre offers a guarantee on hardy plants. She does not have the receipt. The member of staff on the desk has no way to check. They could refuse, which feels bad, or give a refund or replacement, which may not be deserved. They ask a supervisor, who makes a judgement based on how the customer seems.
Another customer, with a receipt, comes back with three plants from different dates. One is clearly within your terms, one is borderline, one is a plant your guarantee excludes. Two staff members on different days would likely give three different answers.
Why guarantee claims are judged by feel
Plant guarantees exist to give customers confidence, and most centres apply them generously. But claims arrive long after the sale, the evidence is thin, and your own terms are often on a sign or a leaflet rather than in front of the person deciding.
- Receipts are lost, faded or never taken.
- Staff cannot look up past purchases by customer.
- Guarantee terms, such as exclusions for bedding or houseplants, are not applied consistently.
- Claims are refunded at the till without recording the plant or the reason.
- Nobody links claims back to growers or lines that keep failing.
What inconsistent claims cost
Inconsistent decisions frustrate honest customers and are easy to exploit. Refunds put through as generic returns hide the plant and the reason, so losses from guarantee claims are invisible in your margins. You lose the chance to spot a grower whose plants fail more often, or a line that simply does not suit local conditions.
Timing adds to the difficulty. Guarantee claims peak after a hard winter or a dry summer, when many customers return plants at once and the desk is already busy. Those are exactly the weeks when decisions get rushed and records get skipped.
Staff are uncomfortable too. Being asked to judge a stranger's honesty without information is one of the least pleasant parts of working at the desk.
A guarantee process with evidence behind it
- We add a purchase lookup at the service desk: by loyalty card, email, phone number or the last digits of the payment card, where your EPOS and card provider allow it.
- Staff scan or search the plant, and the system shows matching purchases with dates.
- Your guarantee terms, such as time limits and excluded categories, are stored as rules, so the screen shows whether the plant falls inside them.
- The claim is logged with the plant, purchase date if found, outcome and a photo, and the refund or replacement is processed against the original line.
- Supervisors see claims that need a decision, such as no purchase found, with the history of that customer's previous claims.
- A monthly report shows claims by line, grower and category, which supports supplier conversations and buying decisions.

The service desk with information to hand
When a customer brings back a plant, the desk looks up the purchase in a few seconds in most cases, sees whether it falls within your terms and processes the claim. Borderline cases still go to a supervisor, but with the facts in front of them.
The buyer sees that one grower's shrubs have more claims than others and raises it at the next order. Customers get consistent answers, and staff no longer have to guess.
