'JMK' became 'JKM' on a cashmere jumper
Your monogrammed jumpers are a bestseller at Christmas. A customer types her husband's initials into the order note, in a hurry, on her phone. Your team copies the note onto a job sheet for the embroiderer. The order goes out with 'JKM' stitched on the chest instead of 'JMK'. The jumper cannot be resold. She wants a replacement before Christmas, and there are only a few working days left.
Other versions of the same problem turn up every week: a thread colour that is not one you offer, initials with a full stop your embroiderer cannot do, a name too long for the space, an order that ships without personalisation because the note was missed.
Where personalisation slips
- Details are typed as free text in an order note, with no rules.
- Customers cannot see what the result will look like before paying.
- Your team retypes each order onto a job sheet or email for the embroiderer.
- There is no check that each personalised order was actually personalised before packing.
- Personalised items are mixed into normal fulfilment and can be picked and shipped early.
Personalisation is where one wrong letter costs a whole garment. It deserves more structure than a text box.

How we structure personalised orders
- The product page offers personalisation as proper fields: initials or name, font, thread colour and position, limited to the options your embroiderer can actually do.
- The fields check themselves: maximum characters for the position, allowed characters only and a clear message if something will not fit.
- A live preview on the page shows the text in the chosen font and colour on the garment, so the customer checks it before paying.
- The customer confirms the text in a final step, and the confirmation email repeats it clearly with a short window to correct it, if your process allows that.
- Each personalised order produces a job sheet or file for the embroiderer, with the text exactly as entered, the font, colour, position and a preview image. Nothing is retyped.
- Personalised items go into a separate queue and are held from shipping until the job is marked done and a photo of the finished piece is attached.
If your embroiderer uses a machine that takes digital files, the job can include the text in the format the machine software imports, which removes another retyping step.
Peak season afterwards
In December, the embroidery queue is a list, not a pile of notes. Each job shows the preview, and the embroiderer works through them in order of delivery date. Packers can only pick a personalised jumper once its job is marked done. The customer who typed 'JMK' saw the preview, and it says 'JMK'. When someone does make a mistake in their own entry, the correction window catches most of them before production starts.
Returns and outside embroiderers
Personalised items often cannot be returned in the normal way, and what your policy says is for you and your advisers. The system records exactly what the customer entered and confirmed, which helps if there is a disagreement. If embroidery is done by an outside supplier, the job files go to them automatically and their completion is recorded, so you can see what is out with them and when it is due back.
Blank stock matters too. A personalised jumper uses a plain jumper from the same stock as your normal sales. The system reserves the blank when the order is placed, so the last plain jumper in a size is not sold to someone else while the personalised order waits.
