One delegate, five suppliers
A three-day incentive trip for a client's top sales team: a hotel, a day at a conference centre, a dinner at a restaurant on the second night, a lunch stop on an excursion and coaches throughout. A delegate records a serious nut allergy at registration. Another uses a wheelchair and needs step-free coach access and an accessible room. A third is vegan and does not drink.
Your coordinator builds a dietary spreadsheet for the hotel, retypes it into the restaurant's template, sends a separate email to the excursion lunch venue, and tells the coach company about the wheelchair by phone. A week later, the vegan delegate swaps with a colleague who is coeliac. The hotel's list is updated. The restaurant's is not.
Why requirements fall through
The venue side usually works well: a good kitchen handles a clear list. The failure is on the organiser's side, in carrying one set of facts to many suppliers and keeping every copy current.
- Needs are collected once at registration, often as free text such as "no nuts please, bad allergy".
- Each supplier wants a different format: by table, by room, by meal, by coach.
- Substitutions and late updates change the list after the first copies have gone.
- Access needs affect transport, rooms, seating and routes, not only catering, and are easy to leave off one supplier's list.
- There is no record of which supplier has the current list and has confirmed it.
Where it goes wrong on the trip
At best, a delegate has to explain their needs again to every waiter and driver, which is exactly what a well-run event should spare them. At worst, a meal or a coach is not prepared for someone, and your team has to fix it in front of the client's best customers or staff. Whether a supplier's arrangements are safe is their responsibility and yours by contract, but the information failing to reach them is squarely an organiser problem.
One needs record, many supplier lists
- Registration asks structured questions, with free text alongside, so each need is recorded as something the system can use, and the delegate can see and correct what was recorded.
- Each supplier on the event is set up with what they need: meals they serve, rooms, coaches, seating, and the format they prefer.
- The system generates each supplier's list from the delegate record, filtered to the delegates they serve and the needs that matter to them.
- When a need changes or a delegate is substituted, every supplier whose list is affected is sent an update showing only the change, and asked to confirm.
- Free text that could not be structured is flagged for a coordinator to clarify with the delegate, rather than passed on as it stands.
- On site, delegates' needs can be shown on their badge or table card in the form you and the client agree.
- After the event, the records are kept or deleted under your data retention policy, since health information is sensitive.

The record carries what delegates tell you. It does not assess a need or advise on it; that stays with the delegate, the supplier and the client's own policies.
A swap a week before the trip
The vegan delegate is replaced by the coeliac colleague. The coordinator makes the swap in the attendee record. The hotel, the conference centre, the restaurant and the excursion lunch venue each receive a one-line update, and each confirms. The coach company is not affected and receives nothing. On the second night, the restaurant's list matches the table plan, and nobody has to ask the delegate at the table.
