A date appears at 7.40am
Someone in the office is checking the official test booking service before work, as they do every morning, and a cancellation appears at a nearby test centre for next Thursday at 10.14. They have your school's test booking access and a few minutes before it goes.
Who should get it? There are thirty pupils waiting for tests across eight instructors. Some are ready, some were ready but have not driven for a month, one is ready but going on holiday, and two have not passed their theory yet. The only way to know is to text the instructors. By the time Priya replies that her pupil is ready and she and the car are free, the date has gone.
Why cancellations get wasted
Test dates are scarce and cancellations are unpredictable. Using one well depends on information that lives in each instructor's head.
- Readiness is the instructor's judgement, and it changes week to week.
- Theory test passes and their expiry dates are not held centrally.
- Pupils' availability, school, work and holidays, is known only to them and their instructor.
- The instructor and the car must be free for the test slot and the lesson before it.
- Which test centres each pupil can use depends on where they learn.
So the decision that has to be made in minutes needs information that takes hours to gather.
What a missed date costs
A pupil who was ready and did not get the date waits longer, and pays for more lessons to stay test-ready, which is not what they want. Pupils blame the school, and some move to another. A date given to a pupil who was not ready may end in a failed test, which is worse for the pupil and for the school's reputation. And the member of staff checking for dates every morning has no quick way to act on what they find.
The readiness list and matching we build
- Instructors mark each pupil's test readiness in the lesson diary after lessons, on a simple scale you define, such as 'test ready now' or 'ready in a few weeks'.
- Each pupil's theory test pass date is recorded, so pupils whose theory certificate is missing or near expiry under the current rules are flagged.
- Pupils tell you their unavailable dates, such as holidays and exams, through a short form.
- The list also holds the test centres each pupil can realistically use.
- When someone finds a date, they enter the centre, date and time into the matching screen. It shows pupils who are ready, have theory, are available and whose instructor and car are free for the slot and a warm-up lesson before it, in the order your rules set, such as longest waiting first.
- The person books the test through the official service as they normally do, and records the booking in the diary, which adds the test and the warm-up lesson and notifies the pupil and instructor.
- Pupils with a test already booked are shown their date, and those wanting an earlier date are marked so they are offered cancellations first.

We do not build tools that automate or scrape the official test booking service, and we would advise against any that do. Checking for dates and booking them stay with your staff, following the service's own rules. What we speed up is the decision once a date is in front of you.
A cancellation, used well
At 7.40 the date appears. The office enters it into the matching screen and sees two pupils who are ready, in date for theory, free that day, and whose instructors are free. The one who has waited longest gets it. The booking is made through the official service, the diary is updated with a warm-up lesson, and the pupil and instructor get a message before 8am.
Over time, the readiness list also shows the owner how many pupils are waiting for tests and how long, which helps when talking to pupils about realistic timescales.
