She is in Spain, and she has six dogs booked
One of your groomers booked a week off months ago. It is on the calendar in the back room. The receptionist, booking regulars at checkout eight weeks ahead, did not look at the back room calendar, and the app showed the groomer as available.
The Friday before the holiday, someone notices that the groomer has six dogs booked for the following Tuesday. Owners are rung in a hurry. Some can move to another groomer; some want to wait for their usual groomer; one is annoyed at being moved at short notice.
The same thing happens on a smaller scale with training days, dentist appointments and the groomer who only works alternate Saturdays.
Everyone knew about the holiday. The diary did not.
Online booking makes the problem sharper. An owner books their usual groomer through the link at eleven at night, the app happily accepts, and nobody in the salon sees the booking until the clash is already made. The more bookings come in without a person involved, the more the diary needs to know who is actually working.
Leave is on a calendar, bookings are in the app
Leave is requested and agreed in person or in a group chat, written on a calendar, and not entered in the booking app until someone remembers.
- Leave approval is not linked to the diary.
- Groomers' working patterns (alternate Saturdays, part-time days) are not set in the app.
- Bookings made weeks ahead do not know about future leave.
- Clashes are found close to the date.
- Cover groomers are told about the dogs on the day.
Last-minute moves and unhappy regulars
Moving bookings at short notice upsets owners, especially those loyal to one groomer. It takes receptionist time on the phone. Cover groomers inherit dogs they know nothing about, and the week runs worse than it needed to. Groomers returning from holiday find their regulars scattered.
How we connect the rota to the diary
- Groomers request leave through a simple form or app, and you approve it there.
- Approved leave and each groomer's working pattern close their diary for those times automatically.
- If there are already bookings in that period, they are listed straight away, with a suggested cover groomer for each based on skills and availability.
- Owners are messaged early with options: move to a named cover groomer on the same day, or move to their usual groomer on another date.
- Cover groomers see the incoming dogs' handling and style notes in advance.
- A simple rota view shows who is working when, weeks ahead, alongside how full each diary is.
| Moment | Today | With rota and diary linked |
|---|---|---|
| Leave approved | Written on a calendar | Diary closed for those days |
| Existing bookings in that week | Found days before | Listed at approval |
| Owners told | Rushed phone calls | Early message with options |
| Cover groomer | Meets the dog on the day | Sees notes in advance |
Many booking apps allow staff time off to block the diary. If yours does, we set it up and connect it to how leave is actually requested in your salon.
Holidays without the Friday panic
Bank holidays, training courses and the odd half day for an appointment go through the same route, so the diary always matches who is actually in the building.
When a holiday is approved, the diary closes and any existing bookings are sorted weeks ahead. Owners choose to move or wait, calmly. Cover groomers start the week prepared. The groomer comes back to their regulars.
