Forty unread messages and a double-booked Friday
Your shop's Instagram gets a steady stream of messages under every video of a fresh fade. Half of them are some version of "you got anything Friday after work?". Your barbers also have their own WhatsApp, and regulars message them directly. One barber answers in the evening from his sofa. Another only checks between customers. The owner looks at the shop account on a Sunday night and finds messages from Wednesday nobody replied to.
Then Friday comes and two people turn up for the same half past five with the same barber, because one was booked through the app and the other was promised the slot in a DM that never made it into the diary.
Customers book where they already are
People message a barbershop on Instagram because that is where they found you. They message a barber on WhatsApp because that is how they have always done it. Telling them to use the app does not change the habit, and the shop does not want to lose the booking by being awkward about it.
- The shop account is shared by several people, so nobody owns replying.
- Each barber's WhatsApp is a private phone, invisible to the rest of the shop.
- Promises made in messages are not entered into the booking app straight away.
- Messages that ask about price or a style get the same slow reply as messages that want to book.
- When a barber is off sick, their WhatsApp regulars have no idea.
Missed bookings, double bookings and slow replies
A customer who asks for a slot and hears nothing by the evening books somewhere else. A slot promised in a message and not entered in the app gets sold twice. And barbers end up doing an hour of messaging after closing, unpaid, to stay on top of it. The owner has no view of how many booking requests arrive by message or how many are lost.
One inbox that knows the diary

- Instagram business messages and a WhatsApp Business number for the shop are connected through their official APIs into one inbox. Barbers can publish that shop number to their regulars instead of their personal one.
- Each incoming message is sorted: booking request, reschedule, price or style question, or something else. We use a language model such as Anthropic Claude or OpenAI for this, with your own wording examples.
- For booking requests, the inbox checks the booking app and replies with the barber's booking link and the nearest open slots, in your shop's tone. The customer books through the app, so the slot is held properly.
- Price questions get your current price list. Style questions with a photo are passed to the barber the customer named, or to whoever you choose.
- Anything unclear waits for a person, with a draft reply ready to send or edit.
- The owner sees how many requests came in by channel, how quickly they were answered and how many turned into bookings.

The inbox never confirms a slot in a message by itself. The booking only exists once it is in your app, which is what stops the Friday double booking.
Replies in minutes, diary in one place
Customers get an answer while they are still thinking about booking, rather than the next day. Barbers stop spending evenings on their phones. Every booking lives in the app, so what the diary says is what is going to happen.
When a barber is off, their regulars who message the shop number are told and offered someone else, rather than being left on read.
