Can you send the data sheet?
A facilities manager wants to order a cleaning chemical for several sites. Their health and safety policy requires a safety data sheet on file before any chemical is used. The listing has none. They message the supplier and wait. Another buyer, a contractor, needs the fire rating certificate for a door closer before it can be fitted on a job. A third needs the declaration of conformity for an electrical product for their own records.
Each request is a message thread, a delay and sometimes a lost order.
Your support team sees the pattern from the other side: dozens of document requests a week, each forwarded to a supplier, each chased when the supplier is slow, and some ending with a PDF that turns out to be for a different product.
Why documents are missing from listings
Trade buyers often need documents that consumer shoppers never see. What is required depends on the product and the buyer's own obligations; your advisers and your category rules decide what the marketplace requires suppliers to provide. We do not give compliance or safety advice.
Suppliers usually have the documents, but upload products from their catalogue data, which rarely includes them. Documents that are uploaded may be for a different version of the product, in the wrong language, or out of date, and nobody checks.

What missing documents cost
Orders delayed or lost while buyers wait for documents. Support time relaying requests. Buyers with strict policies, often the larger ones, avoiding categories where documents are unreliable. And risk: documents that are wrong or outdated are worse than missing ones, because a buyer may rely on them.
Where your marketplace has made commitments about product information in its terms, gaps also expose you. Your advisers can say where responsibility lies; the operational task is making sure what your policy requires is actually there.
The document layer we build
- Category requirements: your team sets which documents each category requires or recommends, under your policy.
- Supplier collection: suppliers are asked for required documents at listing time and in bulk for existing listings, with uploads matched to products by code.
- Document reading: uploaded documents are read to extract the product name, codes, revision date, issuer and expiry where present, and checked against the listing, with mismatches flagged.
- Listing display: documents appear on the listing for buyers to download, with the revision date shown.
- Gap and expiry tracking: products missing required documents are listed by supplier, and documents with expiry or review dates trigger requests to the supplier before they lapse.
- Listing rules: under your policy, products missing required documents can be hidden, marked, or restricted from sale until the gap is filled.

Buyers find the documents on the listing and order without waiting. Suppliers get specific requests for what is missing rather than general reminders. Your team sees document coverage by category and supplier, and can focus on the gaps that matter most for your buyers.
When a supplier issues a new revision of a safety data sheet, the old one is replaced on the listing and the change is recorded, so a buyer who downloaded the earlier version can be told if your policy calls for it.
