Starting from scratch every time
A regular brings in a sample from her 200 litre community tank for the third time in a month. On her first visit, your specialist tested the water and they talked through the results. On the second visit, a different staff member did the test, not knowing about the first. Today, a third person tests it. Each result was given on a slip of paper that the customer has lost.
Nobody in the shop can see the three results side by side, what equipment or treatments she bought in between, or what she was told last time. Each conversation starts from nothing, and the customer has to explain her tank again.
Why the history is lost
Water testing is usually a counter service, done on the spot and given verbally. The results are not tied to the customer or the tank, because there is nowhere to put them.

What forgetting costs you
Your specialists' time is spent re-establishing basics instead of building on what they know. Customers feel like strangers in a shop they visit every week. Online retailers cannot offer the personal knowledge that is your advantage, but without a record you are not using it either.
Customers with more than one tank or a pond as well feel it most. Their results get mixed up in conversation, the specialist cannot remember which tank had the problem last month, and the customer ends up repeating the story of each tank at every visit.
When a specialist leaves, their knowledge of regulars' tanks goes with them. The new person starts the relationship with every regular again, and some regulars take that as the moment to try somewhere else.
A test history for every tank
- We set up a customer record with each tank or pond they keep: type, size and any notes the customer or specialist wants to keep.
- Each test is entered on a tablet against the right tank, with the results and a short note from the specialist.
- The tank record shows all past tests in a table and simple charts, so trends are visible at a glance.
- Purchases at the till, such as equipment, treatments and livestock, are linked to the customer and shown alongside the tests.
- Customers can receive each result by text or email and view their own tank history through a private link.
- Staff can find a customer by name or phone in seconds when they walk in with a sample.

Conversations that pick up where they left off
When the regular walks in with her sample, the staff member finds her by phone number, opens the community tank, runs the test and sees the history on the same screen. The conversation starts from what happened last time, whoever is on shift.
The customer receives her results by text and can look back at her own history. She comes back because the shop knows her tanks, and that is something a website cannot offer.
